11:50am: Manolo arrives in D.C. - uber to hotel, check in if applicable
12:00pm: Olivia arrives in D.C. with materials - pick up Manolo at hotel
12:30 - 1:00pm: Manolo & Olivia go to convention center to set up booth
Go to: Loading Dock Hall D/E - 9th & M Street and inform the Public Safety Officer that you are there for the Capitol Hill Volleyball Classic and provide NCSA as company name. The officer will have your name, and give you a pass for parking for move in/out. BOOTH 1005 on the L Street bridge 10x20 space. ALL EXHIBITORS MUST MOVE IN by 4pm EST.
Saturday, February 14
7:00am: When entering on event day, Vendors must enter through the Spectator line only. Two entry points for Spectators are Mt. Vernon and Marriott Marquis.

BRING YOUR DRIVERS LICENSE and QR CODE with you* - you will enter the convention center through the "spectator" line, and will need to show them your QR Code and photo ID.
7:30am-1:30pm: All Staff meet at booth (Pamella driving in should arrive by 10am), Game Hours are 8:00am - 8:00pm.
12:00pm-2:00pm Stagger Lunch Breaks so someone is at the booth at all times.
2:30pm-7:00pm: Staff at booth for Wave 2. Same as Wave 1, different groups/ages of players/parents/coaches. At the end of the day, straighten booth, keep Table Signs on display, everything else under table and Depart NCSA Booth

7:30am-12:00pm: Sunday is elimination day; once a team loses, they are done and start heading home. Booth flow will start slowing down around 12pm* Olivia can stay later if it makes sense. Event Leads (REC COORD): Each Recruiting Coordinator will have up to 25 leads to follow up with after the event. These leads will be assigned to you and on your call list your next work day.
Coach & Client Engagement (LEAD / REC COACH):
CLIENT: For families who have a PAID Memberships and have a 10+ min conversation with us onsite, keep track of student-athlete/parent names and enter them into the post event excel doc.
COLLEGE COACH: If you have interaction with any college coach, enter info into the post event excel doc with their names/programs and any additional information, such as Roster Openings, so Coach Relations can follow up with.

LEAD:
Lead Communicator - with onsite event personnel and NCSA event director if anything needs to be addressed. Speaking to and engagement with student-athletes/parents/coaches individually or in a group setting (if applicable).
Pre-Event- ensuring that the NCSA equipment and materials arrive onsite at the correct time. Timely setup, pictures, professional booth presentation (and efficient take down) of NCSA equipment and materials.
During event - Getting every possible parent/player to scan QR code to fill out the form. Speaking with student-athletes/families about recruiting, answering any questions, conducting onsite recruiting assessments/enrollments (if applicable), ensuring that goals are met.
Post-Event - ensuring NCSA equipment and materials are stored correctly or shipped back to NCSA warehouse, as well as providing event photos and post-event email and voicemail.
SUPPORT STAFF:
Pre-Event- Efficient setup (and take down) of NCSA equipment and materials.

3. SUBMIT HOURS (ALL SUPPORT STAFF) Clock in, click "Work Transfer" and select "Partners," Clock out. Clock in/out like normal for lunch breaks. Or keep track of your hours and enter into Dayforce after event. CLICK HERE FOR DAYFORCE DIRECTIONS.
You will still send an email with your hours (see example below) to the Event Director to confirm with HR that your hours are in Workday. You have $100/day of per diem for meals and can expense any work-related items (must secure an itemized receipt).
Note: If traveling to a partner event, the day prior to the actual date you’ve been confirmed to work, NCSA staff is restricted to a Per Diem of $50.
Alcohol is reimbursable
Permitted to one (1) drink if a rental car is reserved for event.
Alcohol consumption should be reasonable and within expense limits. Excess alcohol-related charges may not be reimbursed. When attending partner events, we recommend limiting consumption to no more than two (2) drinks.
Baggage reimbursement
If you are traveling 2 or more days, checked baggage is reimbursable.
All Concur expenses should be submitted no later than 7 days after you travel home from your confirmed event. Failure to comply could result in expenses not being reimbursed.
