DLG Subgrant Awardee Resources
Once applications have been reviewed and accepted planning begins for all recipients. The timeline for projects vary based on the type of work being performed. Projects are typically completed within the fiscal year (July 1 - June 30) of application. Services awarded in July will be completed by the following June 30th.
The general process for projects is as follows:
Recipients notified
Confirmation of services emails sent (for planning purposes)
Service agreements signed (Sample MOU available here)
Project schedules agreed to
Materials delivered to DLG (Material Inventory Template, Instructions for drop-off and pick-up of materials)
Work is performed
Materials picked up from DLG (if applicable)
Press materials are completed
Complete records are made public
Press materials are circulated
Recipients notified
The DLG Director will notify awardees via email.
Confirmation of services emails sent
DLG staff will reach out to awardees for a confirmation of services. This allows us to put together a tentative schedule of projects. MOUs do not need to be completed at this point, it is for internal project planning. The confirmation emails will ask the point of contact to confirm:
The point person(s) for communication going forward (this can be different than the applicant, if needed)
Number and type of materials for reformatting
Number and type of metadata records
Hosting and delivery responsibilities
Archival storage responsibilities
Service agreements signed
Awardees are responsible for completing and returning the signed MOU (Sample MOU available here) to the DLG Director
Project scheduling
DLG staff will coordinate with all awardees to develop a project schedule. Once the schedule is finalized awardees will receive a Material Inventory Template as well as instructions for drop-off and pick-up of materials.
Work is performed, and project is completed
You will be updated regularly as your materials move through the reformatting and description process. DLG staff may reach out to you with questions regarding imaging or description. We also may need your assistance drafting press materials including blog posts, press releases, and social media.
