Primary Duties: Job Description.
Oversees and coordinates the work of an executive board to run a PTA effectively
Presides at PTA board and association meetings
Serves as the official contact, communicator and representative of a PTA
Designated as an authorized signer for PTA checks, contracts and authorizations for payment
Serves as ex-officio member of all committees except the nominating committee
Works with other PTA leaders to connect families, school and community to support student success
Qualifications: enjoys running meetings and learning PTA bylaws/policies; should be a parent at Dingle and must join PTA
Time Commitment: Roughly 40-50 hours per year. 1 hour monthly for PTA Executive Board meetings (plus 1-2 hours prep), 2 hours x3 per year for association meetings (plus 4-8 hours prep for each), and up to 8 hours per year for occasional meetings with the principal, ELAC, SSC, etc.
Day-on-the-Job:
Schedule monthly PTA executive board meetings at the beginning of the year
Create and send the agenda prior to each PTA executive board meeting
Schedule the three association meetings for the year
Send a "save the date" for each association meeting, plus create and send the agenda for the association meetings
Periodically check in and share news with the PTA executive board
Facilitate the meetings
Significance: legally required position, Dingle PTA cannot exist without it
Primary Duties: taking minutes
Qualifications: access to a computer and able to take minutes, ideally a parent at Dingle, and must become a member of Dingle PTA
Time Commitment: 1-2 hours per month (1 hour for PTA meetings and up to 1 hour for editing minutes)
Day-on-the-Job: Attend and take minutes at each monthly PTA Executive Board meeting and the three annual association meetings (all held in the evening). After each meeting edit the minutes and email them to the Dingle PTA Executive Board for review.
Significance: retain good standing with the IRS
Primary Duties: send a monthly email to PTA leaders asking them to report their and their team's volunteer hours
Qualifications: enjoys collecting data and has basic Excel and/or Google Sheet skills; does not have to be a parent but must join PTA
Time Commitment: 5 to 20 minutes monthly for Historian work, plus 1 hour monthly for PTA Executive Board meetings
Day-on-the-Job: On a monthly basis send an email to PTA leaders asking them to report their and their team's volunteer hours via an online Google Form (already exists). If time allows, these are also helpful:
When PTA events are coming up, remind PTA leaders to take photographs of volunteer work and post them on PTA's Facebook page.
Add volunteer names and volunteer events/duties (without hours) via the same Google Form. You may notice these facts via volunteer emails and photographs. This extra data entry ensures we know volunteers for end-of-year volunteer recognition and events/projects/jobs for the annual PTA "Welcome-Bienvenidos" recap.
Optional Annual Project: If able, then in July collaborate with the VP Membership to create a 1-minute "Welcome-Bienvenidos" picture-music video recapping PTA's prior-year's work. Takes 4 to 8 hours, can be spread out over the summer, and can be done as a team. To create the video (1) create a PowerPoint or Google Slides file with data from the prior Historian data and photos from PTA's Facebook page, (2) use Microsoft's ClipChamp to import the slides into a video file, (3) add a free audio file from YouTube or ClipChamp, (4) get Spanish/English translations edited, and (5) upload to PTA's YouTube channel. Ask other PTA leaders for assistance in any of these steps.
Significance: make better decisions by including the voice of teachers
Primary Duties: providing input from a teacher perspective
Qualifications: must be a teacher at Dingle and must become a member of Dingle PTA
Time Commitment: 1-2 hours per month (attend the monthly PTA meetings and get input from other teachers as needed)
Day-on-the-Job: The teacher representative is a Dingle teacher that attends the monthly PTA meetings and shares what is of interest to teachers. The representative gets a few minutes on the agenda to share and will answer questions from others during the meeting. For example, if PTA is talking about doing a project, the teacher representative will give input from a teacher's perspective.
Significance: money to support Dingle and events to build school engagement
Primary Duties: project manager for three annual events (fundraisers)
Qualifications: basic project management skills, must become a member of Dingle PTA, does not have to be a parent
Time Commitment: about 40 hours per year
Day-on-the-Job: Either (a) find and support organizers for the three annual events or (b) organize the three annual events yourself with the help of many volunteers. Re-use existing plans and materials. The three major fundraiser events of the year: Jog-a-thon (late September), Harvest Festival in the fall, and the Spring Carnival.
Creativity: Additional fundraising at the discretion of the VP of Fundraising. All fundraisers need to be approved by the PTA Executive Board (approval is generally very easy to get). For example, past VPs of Fundraising have requested large donations from local organizations.
Significance: members voices get heard
Primary Duties: communications and/or relationship building to grow membership
Qualifications: ideally a parent at Dingle and must become a member of Dingle PTA
Time Commitment: 2 hours per month (1 hour for PTA meetings and 1 hour for membership work); can volunteer more hours, you decide
Day-on-the-Job: In July/August edit the annual back-to-school membership letter, then in August/September for 3-4 weeks craft short membership messages to be included in ParentSquare and sent to all Dingle families.
Creativity: Additional communications and projects at the discretion of the VP of Membership. All content needs to be approved by the PTA Executive Board, the Dingle Principal, and/or the Dingle PTA President (approval is generally very easy to get). Translation support for communications is available.
Significance: an easy way for parents and the community to support and build a relationship with Dingle and Dingle PTA
Primary Duties: fulfilling t-shirt orders, stocking the basement freezer with otter pops upon request, and sending thank-you emails to donors that donated via Square
Qualifications: must be very trustworthy as dealing with money and merchandise, must become a member of Dingle PTA, does not have to be a parent
Time Commitment: estimated 15-30 minutes weekly for the first ~12 weeks of school, then declines to 0 minutes most weeks after; plus 1-2 hours at the end of the year to count t-shirt inventory
Day-on-the-Job: On a weekly basis monitor the store email box, send a thank-you email to donors that donate via the online Square store, go into the Dingle office weekly to fulfill t-shirt orders (received via the online store and via paper orders left at the office). Collaborate with the Dingle office staff, the PTA Treasurer, and the PTA online store owner as needed for training and process.
