Our final solution is represented in the graphic below. There are mainly three parts: e-learning module, a slack channel, and two times of online check-ins.
Rise 360 module
Module overview
We are using Rise 360 as our primary learning platform for our solution. Each module matched the learning objectives we proposed in the early stage. The learning experience is turned based on our interview and usability testing. The overall design follows Mayer's multimedia principle.
Module one is an introduction module; we inserted some interactive elements to help the new Rise 360 users get used to the functions and UI design. We believe the user will feel confident after the hands-on experience with the module. It is a good transition before formal learning.
Module two is about reviewing degree requirements. Since our target audience is ECT students, we think they will have some background about the department from their application phase. Therefore, we want to continue with their experience from there and introduce the degree requirement for either LTXD or G4L. After this module, there is a quiz to test their understanding by asking questions about the thesis and elective classes.
Module three is about selecting your courses, what specialization is, and updating your planner. In this module, you will gain skills like planning your schedule, understanding what specialization is, and using course planning tools like planners and other resources. There is also a test after this module to check to understand.
Module four is a step-by-step tutorial. Each lesson is a video that teaches you how to use a registration tool in Albert. Those videos have screenshots, slides, and screen recordings. After this module, there is a survey to collect feedback.
Welcome message
The workflow allowing students to register for questions
Once students finish the Albert Registration Tutorial, they will have access to our Slack community: #help-ect-registration-questions. This channel will have some current ECT students and faculty facilitate Q&A. When new students join the channel, there will be a welcome message sent to them, including "Hi xxx! Welcome to the ECT family, help-ect-registration channel. Feel free to ask any questions you have about registration!" Besides the basic functions of Slack, we also designed a workflow for this channel so that students can select 'Registration Question' to ask questions related to registration. Then the message can be replied faster and in more detailed based on its urgency, category, and other additional questions or information.
2 times of online group check-ins would be launched on Zoom. Current ECT students or professors will lead the presentation about the whole registration process and encourage new ECT students to take the e-learning module.
After the quick presentation, a Q&A session will allow students to ask their final questions. And by listening to others' questions being solved, they may clarify some misunderstandings as well. The entire process may last for 30 to 40 minutes.
