This interactive Conference Workbook will be your go-to source for information, as well as, a place to record your completed tasks and ask questions. Within this workbook you'll find your entire 18 to 20-month time commitment (6 - 8 pre-conference year months and 12 conference year months). Each page (month) is designed to walk you through pertinent time-sensitive tasks and provide you with a place to include your task completion notes and dates. This workbook will also provide you with a list of tasks being completed by both the Conference Coordinator (Paula) and ACR's Executive Assistant (Amy). Our goal is to answer all questions regarding what should be done when and by who.
Key Players & Overview
Conference Coordinator: Paula Rigling is the meeting planner and is responsible for all interactions with hotels including; food and beverage planning, meeting room assignments for the program and related organization's meetings and coordinating the audio-visual program needs. She is responsible for working with all vendors including offsite event planning, signage productions, registration materials and all logistical aspects of managing the conference. She works with ACR's Executive Director and Executive Assistant to manage the conference budget.
ACR Office Manager: Amy Ledin works with conference chairs to manage the call for papers process and set up the conference management system. Amy is the administrator for the conference management online system which allows for online submission, reviews, assignment of papers to reviewers, acceptance/rejection decisions, and program creation. Amy is in charge of posting and managing all conference content on the ACR website as sent to her by the conference chairs, Conference Coordinator and Executive Director. Amy is also responsible for formatting the conference onsite program, all conference registration management both before and during the conference, as well as creating and managing the conference mobile app. Along with the conference chairs she recruits and manages sponsors & exhibitors.
Conference Chairs: The co-chairs are responsible for developing the conference logo, theme and the call for papers which specifies the program content they want to receive. Conference Chairs will manage the reviewer process, make final acceptance decisions and build the conference program using the conference management system. There will be check-point meetings with an Ex Ordo representative for each phase of the process.
Doctoral Symposium Chairs: Selected by ACR's President Elect. Responsible for programming content for four breakouts and one general session on Thursday. Doctoral Symposium Programs from previous years
Program Committee: Approximately 120 - 140 members who commit to review Special Sessions; Associate Editors may also be considered--approximately 25.
Working Papers Chairs: Select papers in the preliminary research stage for showcasing during poster sessions on Friday and/or Saturday during the conference.
Competitive Paper Reviewers: Several hundred members (consider between 400 and 600), selected for their expertise in distinct areas, charged with reviewing all competitive papers and ranking them for acceptance.
Videography Track Chairs: Responsible for reviewing, accepting, and placing films in the program.
Knowledge Forum Chairs: Select individuals who are well-positioned to identify timely topics in the field for open discussion sessions. The Chairs should be encouraged to develop specific sessions as well as consider sessions submitted in response to the Call for Sessions.
Ombudsteam: The EDI Champion (this is a new position) will be responsible for putting this team together. Provide a space (phone number, email, etc. on posters at the conference) for people to come to if there are any issues related to unfair or inappropriate power dynamics (professors/doctoral students). Need a prominent and early spot to present at the conference.
ACR Executive Director: Rajiv Vaidyanathan is responsible for providing assistance as needed to the conference chairs; managing the conference expenditures with the assistance of the conference coordinator, and preparing all materials for the board of directors meeting during the conference.
