Overall, the exordo software was easy to use when creating the program, and allows for flexibility in updating the program, and adding content about each session. Creating the program may require more work then you expect, mainly because you may want to address the following challenges
Conflict checks: many presenters have more than one submission / presentation. To avoid direct conflicts when setting the schedule:
We created 8 tracks based on research topics and methods, this helped address conflicts and avoid having sessions that target the same audience/research topic presented during the same time slot. These are the 8 tracks we had: TRACK 1 - Health and Well-Being, TRACK 2: Methods, Research Priorities, Tutorials and Automated Text Analysis, TRACK 3: CCT and Under-Represented Consumers TRACK 4: Symbolic Consumption and Identity, TRACK 5: Technology, AI, and Social Media TRACK 6: JDM and Financial Decision Making, TRACK 7: Branding and Advertising, TRACK 8: Prosociality, Morality, Sustainability, Sharing.
We used the exordo conflict checker every time we made updates / changes to the program. 3. To avoid direct conflicts, authors who present more than one competitive paper are assigned to discuss both papers in the same “competitive papers discussion session.” Similarly, authors presenting more than one poster have both posters assigned to the same poster group. The poster groups and competitive paper discussion groups were also groups based on research domains.
The exordo software does not have a special session format. The program only includes the title and chairs of the session, not the individual papers included within each session. To add this content, we copied and pasted the papers titles, author names, and abstracts form the submission file into the “session details.” We also made sure all co-authors of all papers in the session are listed in the session authors (not just the session chairs) so they appear in the program and participants can find them by searching the author names.
When creating a new session to add to the program, you need to indicate the session format. exordo only allows for 6 formats (poster, oral, panel, general, key note, workshop). To make sure participants clearly understand which session are special session / knowledge forum, etc. we included the session type as part of the text in the session title. We used “panel” for all roundtables, discussions, and forums. and “general” for the social events.
As ACR's own journal, we need to ensure that it is well represented at the conference in a prominant and early spot. Please connect with the JACR Editor-In-Chiel (Vicki Morwitz in 2023) to discuss a roundtable session at ACR surrounding upcoming issues. Also, please ensure that the doctoral symposium chairs invite the JACR EIC to the symposium to do a presentation to the doctoral students. This is what has been used in the past for the program:

Journal of the Association for Consumer Research (JACR) Information Session
This roundtable will highlight JACR’s past successes, its current agenda, and future goals. After a brief overview of JACR, former issue editors and authors will speak about their experiences and current issue editors will discuss the goals for their issues. The roundtable will end with a future topic brainstorming session.
It is helpful to names the stages (rooms) based on the track / topic, so participants can easily find relevant sessions.
It is useful to have hyperlinks in the program. For example, in the bio of our key note speakers, we included hyperlinks to their seminal books /papers. It is not possible to create hyperlinks directly in exordo, so we created text with hyperlinks in word and copied the hyperlinked text into exordo.
We were concerned that participants will get confused about the time zones, because the program lists all events in US eastern time. For each session we create a hyperlink My time zone / add to calendar that allows participants to check when is the session according to their time zone, and add it to their calendar. The program specifies on the top of the page that all times are in US EST time zone. We had to create and add all these individually customised links because exordo does not have a time zone or add to calendar feature. Adding this link was also meant to help participants mark the sessions they want to attend (exordo does not have a feature for creating a customized program and marking sessions of interest.
ExOrdo creates 2 pdf versions of the pdf program (you can find them in tool>>>export>>>pdf program). The simple program includes just the times and titles of the sessions. The detailed program includes the presentations within each session (but not the ones for the special sessions) and the names of the session chairs and authors. The detailed version does not include abstracts. The abstracts and session descriptions are only available on the online program.
For each competitive papers roundtable discussions we assigned a moderator with expertise in the research domain. In advance of the conference we sent the discussant of each group the list of papers included in their session and the abstract for each paper. Each of these roundtables includes about 14 papers, so it is helpful for discussants to get this information in advance. You may want to consider who you want to contact prior to officially publishing the schedule, to confirm they are available during the time you assigned for them (e.g., keynote speakers, competitive paper discussants, knowledge forum chairs).
It is easy to make updates and changes to the program, if you make any changes make sure you download an updated pdf summary of the program to post on the conference website.
The goal is to make newcomers feel welcomed and give them an opportunity to connect with people they would likely want to meet but may feel uncomfortable reaching out to on their own. ACR Board members, recent JACR editors, ACR Fellows, Chairs (this year's and next year's conference) are all reasonable invitees. Make sure they are given clear instructions that their role is to mingle and make the newcomers feel welcomed. Paula Rigling send out invitations for this.
