ECE Hiring

Procedures 

Congratulations and welcome to the Ming Hsieh Department of Electrical and Computer Engineering! We will need to begin the hiring process as soon as possible. Be sure to follow the steps below if you are an ECE (Systems) student or will be supported by an ECE (Systems) faculty.


If you are an Electrophysics student, kindly email Kim Reid <reid@usc.edu> for processing your paperwork.  


To reduce the number of emails, PLEASE READ ALL PAGES first.  You may find your answer before we can respond to your email.  


We get a high volume of new hires at the beginning of each semester, so kindly follow the website for instructions and we thank you for your patience. 

Please DO NOT email any documents that has your personal information (passport, I-20, I-94, Glacier). 

READ FIRST: 


Student Workers (Hourly workers)

Contact your staff for official start date.  The earliest expected start day is the beginning of the new BiWeekly or SEVEN full business days from when you submit your preliminary information and the staff submits your pay instructions.  

Workday Onboarding questions should be done by expected start date.

Glacier and I-9 Meeting should be done by the third day from start date.


Current Fellowship students transitioning to a first time Research and Teaching Assistants

Hiring paperwork should be completed by 05/16/2024.

If you are not in the U.S., you should expect to receive your Google drive link and Glacier once you arrive in the U.S. 


Summer 2024 Research and Teaching Assistants 

Hiring paperwork and emails are not expected to be sent until mid-December. 

Official start date for Spring semester is 05/16/2024

Workday Onboarding Questions should be done prior to start date of 05/16/2024. *Fellowships transitioning to first time RA/TA may not get this. 

Glacier and I-9 Physical Meeting should be done by 05/17/2024. 

RA/TA Offer Letters are expected to be sent by 05/10/2024 for most students.

For RA/TAs, tuition and health awards are expected to be entered by 05/15/2024.

If you are not in the U.S., you should expect to receive your Google drive link and Glacier once you arrive in the U.S. 


Graders, Mentors, Course Producers

Official start date for Summer term is 05/09/2024. *Start date changes and will depend on when you accept your position. 

Workday Onboarding Questions should be done by 05/09/2024.  Anyone hired (or accepted their position) by 05/03/2024, should complete the Workday Onboarding by 05/09/2024. Glacier and I-9 Physical Meetings should be done by 05/14/2024.

Any new hires (have never worked as USC before) who accept their position after 05/03/2024 will have a start date of 7 days following accepting the position.  Workday Onboarding Questions, Glacier and I-9 Physical Meetings should be done by ASAP. 

During the start of the semester (high volume of new hires) *Emails from Workday, <usc@myworkday.com>, with a subject “Welcome to the Trojan Family” will most likely be delayed.  The earliest expected would be around 3rd week of May.

*Virtual I-9 Meetings are expected the start of June. 

1. Kindly click on button and fill out the preliminary information.  *You only have to fill this out once! 

Preliminary information is used to to generate the necessary hiring paperwork. 

You will only have to do the following procedures if you have never been paid by USC or your work authorization (F-1 or J-1 visa) has expired.

4. I-9 MeetingsOnce your files are uploaded to the google drive and reviewed, you will receive an email, "Step 4 of Hiring Paperwork for New Hires". 

You must do BOTH steps. 

A) Attend an I-9 Physical Inspection Session on campus. Your original documents will need to be presented at the I-9 Physical Inspection.

B) Virtual I-9 Meeting to go over Workday and your responsibilities.  Starting the mid-January, Gerrie's availability will be posted on Calendly.  Schedule an I-9 meeting using Calendly once you have completed your Workday onboarding questions. Failure to follow these two steps, will result in a cancelled meeting.   *SIGN UP FOR A VIRTUAL I-9 AT LEAST 3 DAYS FOLLOWING YOUR I-9 PHYSICAL INSPECTION*

Be sure to have Zoom ready to use.
