If you are an ECE Electrophysis (ECE-Electrophysics) student, kindly email Kim Reid <reid@usc.edu> for processing your Glacier paperwork.
If you are an ECE Systems (ECE-Systems) student, kindly follow the instructions below.
Please fill out the google form: to receive a google drive link to upload your files.
Please read to avoid regular Glacier errors:
In order to avoid a regular error – the “Immigration Status Expiration” and the “Estimated Date of Departure” should be the same and reflect the Program End Date on your I-20 or DS-2019.
Be sure to fill out the State Tax Form (Employee's Withholding Allowance Certificate).
Sign and date (MM/DD/YYYY) on each form/page.
Tips for Glacier Required Documents
Click here for your latest I-94 (entry into the U.S)
Visa Sticker and most recent Visa Stamp (Stamp should match or close to date of I-94)
Upload a signed I-20
PDFs preferred. Please try to reduce file size when you upload photos. Keep total file size below 10MB
*- For some of our international students, who get a Glacier email to submit their tax exemption form. (Emails are sent directly from Glacier/USC Payroll) These forms will only be accepted by google drive!
Updating Glacier - with a TAX TREATY *For those who participate in a tax treaty, you will receive a Glacier email in Nov. to process this for the next calendar year. This should be done every calendar year.
*Be sure to use the "SHORT FORM/Renew my Tax Treaty Exemption" to print out when providing your Tax Treaty. *Short form does not require I-20 / DS-2019, I-94, visa sticker and last entry stamp to be submitted as required documents!
The option for this should be in red, renew my tax treaty exemption.
Your first page of Glacier report should state on the top "Tax Summary Report Update 2024"
If it does not have this, you printed the incorrect form!
You should be uploading ONE file. In google shared folder, upload Glacier
Be sure to sign and date. Save file as "Last, First Name 8233-2024 " (Ex. Trojan, Tommy 8233-2024)
Updating Glacier with new I-20 or DS-2019
You should be uploading TWO files. Glacier with ALL required documents COMBINED and I-20 file. *You should be uploading your I-20 or DS-2019 twice.
In google shared folder, upload
Your SIGNED New I-20 or DS-2019, save file name as "Last, First Name I-20" or "Last, First Name DS-2019" (Ex. Trojan, Tommy I-20)
Signed and dated Glacier forms with required documents (list of documents on bottom right of Glacier summary page, usually I-20 or DS-2019, I-94, visa sticker and last entry stamp), save file name as "Last, First Name Glacier" (Ex. Trojan, Tommy Glacier)
Updating Glacier - with SSN
You should be uploading ONE file.
Once you get your new social security number, go into Glacier and enter your SSN and resubmit documents
In google shared folder, upload
Signed and dated Glacier forms with required documents (list of documents on bottom right of Glacier summary page, usually I-20 or DS-2019, I-94, visa sticker and last entry stamp), and include your signed SSN card, save file name as "Last, First Glacier SSN" (Ex. Trojan, Tommy Glacier SSN)
Updating Glacier - NEW HIRE
You should be uploading FOUR files.
In google shared folder, upload
Passport - Scan of bio page with your signature , save file name as "Last, First passport" (Ex. Trojan, Tommy passport)
I-20 or DS-2019 - scan all pages as one pdf, save file name as "Last Name, First Name I20" (Ex. Trojan, Tommy I-20) Upload a signed I-20 or DS-2019.
I-94 - most recent entry, save file name as "Last Name, First Name I94" (Ex. Trojan, Tommy I94)
Signed and dated Glacier forms with required documents (list of documents on bottom right of Glacier summary page, usually I-20 or DS-2019, I-94, visa sticker and last entry stamp), (Ex. Trojan, Tommy Glacier) *Visa stamp should match I-94 date. Reference Glacier Sample.
