All students must have their own, pre-populated answer sheets. Each student has a unique QR code that cannot be photocopied and used for other students.
You cannot download your answer sheets until you have pre-populated your students' names and year groups, so please ensure you complete this step.
Please note: Your answer sheets do not generate automatically once you purchase your entries and may take a little while to show on your account.
Step 1 - Sourcing the answer sheets
Your students' paper answer sheets can be found on the 'Answer sheets - download' menu option from your Competition Profile.
Step 2 - Pre-Populating
This can be done once your answer sheets have been released, approximately 2 weeks prior to the Competition.
Pre-populating can be done en masse and must be done before you are able to download your students' answer sheets. Please check the above video for instructions.
To follow the instructions below, you must first press the 'names' button to access the table for inputting.
Columns
The process of pre-populating your answer sheets consists of 4 columns:
Column 1 - Your students' first names *mandatory
Column 2 - Your students' surnames *mandatory
Column 3 - Your students' year group code *mandatory. Instructions on how to find this are a bit lower down on this page.
Column 4 - Any additional information you would like to include, such as their class *optional. UKMT does not require that you fill this in and you can leave this blank, this is for in-school purposes only and there to help you. This column can be used to enter different classes or groups of students, you can use this as you wish.
You can copy and paste directly from your own spreadsheet, making this faster and easier for you. Make sure that your spreadsheet columns follow the format listed above, and shown in the image below. To copy and paste, please use the keyboard functions (Ctrl+C and Ctrl+V on Windows devices, or Command+C and Command+V on Mac).
Year group code
To find the year group code, you need to visit the 'Answer sheets - download' menu on your Competition Profile. From here, select the 'Names' button next to your desired Competition. This will bring up a list of each year groups codes.
Please note: Year group codes are different for each Competition, so please read these carefully when inputting. Using year group codes, or example year group codes from this handbook will result in an error.
Copying and pasting
Once your spreadsheet is set up correctly you can simply highlight the cells and 'copy' (Ctrl+C or Command+C on Mac).
Then, simply click in the top left cell within your Competition profile and select paste (Ctrl+V or Cmd+V on Mac).
Please note: Do not include the headers from your spreadsheet.
You can then click 'Save'. Your students’ names, year groups and any additional information you have provided will have populated the list of answer sheets on the previous page.
Helpful Tip: If you use the 'Optional' column your students' answer sheets will download and print out in groups based on the this column, each group will then be ordered alphabetically. This will be particularly useful when organising your students in classes.
If you do not use the 'Optional' column then your students' answer sheets will print out in the order that you enter them.
Step 3 - Downloading
You will see that the Name and Year Group are now pre-populated correctly (1). If you have pre-populated your students’ year groups it will still ask them what year they are in on their answer sheet, please note they can leave this blank.
You can now click “Download” next to the Competition name at the top to download all answer sheets for printing (2). To download individual answer sheets, simply click the 'Download' button at the end of each row (3).
Amending/Changing an answer sheet
If you have made a spelling error, or there has been a change in participating students, you can edit an individual answer sheet even after you have downloaded and printed them.
To do this, click on the individual answer sheet, and this will allow you to update the students name.
Once you click save, this will then update the answer sheet and you can re-download it by pressing the 'Download' button next to the individual answer sheet.
Helpful Tip: You can edit the name on an individual answer sheet even after it has been uploaded after the Olympiad. You may want to do this if you have made a spelling error or if there has been a last minute change of student. This will not update the name on the actual answer sheet, however it will update the name for any results and certificates associated with that answer sheet.
