If you are enrolled in a Registered Nurse (RN) education program, Alberta Health Services and Covenant Health encourage qualified nursing students to apply for Undergraduate Nursing Employee (UNE) positions. These paid positions allow for the opportunity to apply your classroom skills and knowledge in clinical settings under the mentorship of an RN or RPN.
How do I know if I’m eligible?
As per AHS guidelines, students are eligible for UNE positions once they have successfully completed a minimum of 600 clinical hours. This means that most students are eligible during their 3rd and 4th years of the program, or in Fall of Year 2 for After Degree students.
The Undergraduate Nursing Employee (UNE) role is an agency-based position and is not associated with the Faculty of Nursing. Any questions regarding the hiring process, requirements, or job description, etc., should be directed to the agency.
The Faculty of Nursing is not hiring for these positions, and we cannot speak to their details.
What do I need to do to apply?
You are required to provide a breakdown of your total clinical hours, as required by either AHS or Covenant Health, and submit to the Nursing Undergraduate Office for verification.
You are expected to disclose the total number of clinical hours that you have received credit for, both in person and virtual. This number is determined by the University of Alberta Course Catalogue, and varies depending on what term and year you completed your coursework.
Additional hours above and beyond the listed hours in the course outline, for whatever reason, cannot be included just as hours are not deducted when a shift is missed.
AHS provides students with an “Undergraduate Nurse Employee Clinical Hours Confirmation Form” that students are required to complete and submit to the Undergraduate Office for verification. Sample forms are linked in the UNE Student Info Google Drive, however the Undergraduate Office cannot provide this form for you.
Use the “Sample Blank UNE Form - with instructions” as a reference to determine which sections you are required to complete, and which sections are completed by the Undergraduate Office.
When you are finished, you can submit your form to the UG Office. Please make sure you do not sign the bottom of your form, as it’s easier for us to complete our portion without your signature!

Covenant Health completes their UNE application process online. You will complete their form digitally by submitting your hours, and provide the email address nursing.undergraduate@ualberta.ca. Covenant Health will then send us your form directly to verify.
Please note that we cannot make changes to this form on your behalf. Make sure you are following the instructions provided and allocating the correct number of hours as we cannot make adjustments on your behalf. Any incorrect hour submission will be denied by the Undergraduate Office.

You can calculate the hours you have completed in each clinical course two ways:
Using the UNE Position Clinical Hours Master List document created by the UG Office.
Using your Clinical Assessment Tool (CAT).
DO NOT USE HSPNET TO CALCULATE YOUR HOURS. HSPnet does not always reflect your hours accurately, and you can disadvantage yourself by misrepresenting your hours.
Identify your program, and navigate to that page.
Locate the clinical course and the term in which you completed it.
Find the spot where those two meet, and that number is what you would record.
For example, if a student had completed NURS 431 in Fall 2022 they would indicate they completed 96 clinical hours. However if they completed NURS 431 in Fall of 2023, they would indicate they completed 144 clinical hours.

The Undergraduate Office can only verify hours in courses where the grades have been approved and posted to BearTracks. This is the only source of information that we have access to that shows you have successfully completed the requirements of the course and in turn, successfully completed those clinical hours.
We cannot verify hours prior to the final grades being approved and posted as this would be a form of fraud.
IF YOU HAVE SUBMITTED YOUR FORM AND HAVE NOT RECEIVED IT BACK YET, WE MAY NOT HAVE YOUR FINAL GRADES ACCESSIBLE IN BEAR TRACKS. PLEASE REFRAIN FROM SUBMITTING THE SAME FORM MULTIPLE TIMES AS IT BACKS UP OUR VERIFICATION PROCESS. IF YOU HAVE NOT RECEIVED YOUR UNE FORM BACK YET, PLEASE CHECK YOUR BEARTRACKS FOR GRADES OR CONTACT US DIRECTLY RATHER THAN SUBMITTING YOUR FORM AGAIN.
Why might there be a delay in receiving my form?
The Undergraduate Office can only verify hours in courses where the grades have been approved and posted to BearTracks. While you might be able to see your grades in Canvas, they are not yet official until they have been approved by the Associate Dean -- plus the Student Services Office doesn't have access to course gradebooks. We cannot verify that you have successfully completed a course until it's posted in BearTracks.
You can submit your request at any time, however we can't send it back to you signed until it's been completed.
What should I do if I have different hours than what is listed in the Reference Document or in the Calendar?
Additional hours above and beyond the listed hours in the course outline, for whatever reason, cannot be included just as hours are not deducted when a shift is missed.

What other documentation do I need for UNE positions?
The Faculty of Nursing does not have information on the requirements that either AHS or Covenant Health put in place for their UNE positions. You will need to review the information they’ve provided online (and linked on page 3 of this document) and if you have questions either email careers@ahs.ca or careers@covenanthealth.ca.
I submitted my form and haven't heard back. Why?
Requests for UNE verification comes in waves based on when courses are being completed.
Each request requires an evaluation of the student’s transcript to ensure that credit/grades have been posted for each of the courses allocated, and this is a very time consuming process.
We are working hard to verify the information as quickly as we can, and to return your form in a timely manner, and we greatly appreciate your patience throughout this process. If your grades have been posted to Bear Tracks, please allow 7-10 business days for processing.
