Background

The Daily Diaries record enables Project Engineers to log contractor activities and installed quantities.

Record Guidance

Record Header

Use the record header section to specify a project and contract.

When generating a Daily Diary record for a Combo project, select the primary project in the Project field
When generating a Daily Diary record for a day that is not today, select a new date in the Report Date field
When creating a Correction Report, select "Correction Report" from the Category dropdown list
- Note: Use Correction Reports to update entries that have Approved or Conditionally Approved statuses. When submitting a Correction Report, enter addition/deduction values in the Daily Diary Grid, not replacement values. For example, if you previously entered a quantity of 7 but it should have been 5, in the correction report, the quantity should be -2.

Location Pane

Use the location pane to enter locations and add them to the Daily Diary Grid. Add locations and sub-locations by right-clicking within the pane or on an existing location. If the location pane is hidden, click the "..." in the middle of the thin gray bar to the left of the Daily Diary Grid.

Note: Project teams should agree upon locations and their associated naming conventions at the project's outset.

Once a location exists, drag and drop it into the Daily Diary Grid to create a new line item. This is the primary means of creating entry lines on the Daily Diary table. See the video for details. The video has no audio. If it's blurry, click the cog icon and select 1080p (HD).

Table

Use the table to add diary and/or quantity information. Each line in the table should represent either a diary or a quantity, not both. All table lines should apply to the Report Date; do not combine diary and/or quantity entries for multiple days into one Daily Diary record. Additional Notes

The Daily Diaries record contains several tabs in addition to the Main tab.

Users may add supplemental information in the Attachments tab.
Users submit the record to workflow for review and approval in the Workflow tab.
Users may view affiliated Finals Findings records in the Finals Findings tab.

Report Guidance

The Daily Diary Summary Report in "BI Reporting" provides users an overview of Daily Diary activities over a selected date range while the Daily Report gives users a report with any weather, site incident, or timesheet details recorded in Daily Diaries or linked Time Count records.

Workflow Guidance

Daily Diaries records require review and approval from one of the project's assigned Project Engineers or Inspectors. After a Project Engineer or Inspector approves the record, a Finals Administrator must review and approve it. PMWeb designates a Daily Diaries record as "Final Approved" after it has been included in a "Final Approved" Final Pay Estimate record.

Integration and Trigger Guidance

The Daily Diaries record integrates with or triggers to/from the following:

When a user creates a Daily Diaries record, PMWeb automatically generates a Time Count record for the same date and stores a link to it in the Attachments tab of the Daily Dairies record.
- If a Time Count record for the same date already exists, PMWeb will automatically link it to the Daily Diaries record for the same date.
In the Daily Diaries record table, PMWeb pulls in Pay Items from the Contract record.
When a user updates the Current Quantity for a Pay Item in this record, PMWeb incorporates it into the next Pay Estimates record.

FAQs

Do I have to create one Daily Diaries record per day? Can I put multiple days' worth of diaries and quantities in a single record?

Please create one Daily Diaries record per day. This ensures precise tracking of which activities and quantities occur on which day. Furthermore, when a user creates a Daily Diaries record, PMWeb automatically generates and links a Time Count record for the same day.

If I want to add a quantity and a diary for a certain location, should I put both of them on the same line?

No, please put them on separate lines. Activities and quantities, even of the same location, should be on separate lines.

Can I make the "Notes" field in the table any bigger?

Yes, click on the ellipses button (...) next to the notes entry field.

Do I need to upload Daily Diaries into ProjectWise?

Yes, you must still upload attachments from Daily Diaries into ProjectWise.

I want to edit my Daily Diary but the system won't let me. Why?

Once you submit your Daily Diary record to workflow, it is no longer "in your court" and thus becomes uneditable by you. You may request that the current approver return the record to you. If the Daily Diary record's status is "Final Approve", the approver can't send it back to you. In this case, you will need to create a Correction Report.
