Versions of Outlook
Our district uses Outlook for staff email. There are two ways you can access your email on a computer:
Use the client version- (Preferred method) The Outlook software comes pre-installed on every staff Carroll ISD computer. To find it, click the Windows "Start" button on your laptop or desktop and search for "Outlook." The first time you use the software on any device, you'll be asked to go through a quick set-up process, but all you have to do is click "Next" until it's finished!
Use the web version- This is how you will access CISD email on a personal laptop or computer. Keep in mind that this is the "lite" version, which means it does not have all the features of the Outlook software. Further, our Technology Department does not provide support for this version in the case of a technical issue. The Outlook Web Access is located in ClassLink.
Your Email Signature
Create an email signature by following the steps below: Note: You will have to create a signature on each individual device you use (i.e. one on your teacher desktop, one on your teacher laptop, etc).
Open the client version of Outlook (click "Start" and search for Outlook on your computer, if needed).
Click File > Options > Mail > Signatures.
If you've never set an email signature on this device before, this screen will be all blank except for your email address in the top, right. Click "New" to create a new signature.
Type your initials in the pop-up box and click "OK."
Click the drop-down menu next to "New Messages" and choose your initials from the list.
Click the drop-down menu next to "Replies/forwards" and choose your initials from the list.
Click textbox toward the bottom of the pop-up and type your signature. Be sure to include the following:
Name
Teaching Assignment/Title within the District
Campus
District Name
Phone number (you can give the number to the front office if you'd like)
Optional: Add the Dragon logo and/or links to your professional social media accounts below your phone number. (Dragon logos are located in the district branding folder).
Customize your signature by formatting the text (bold, italicize, etc.), changing the color, etc. Be sure your signature is professional and readable. Note: avoid choosing third-party fonts (i.e. special fonts such as DJ Inkers or ones you've downloaded yourself), since recipients without those fonts on their device will see your signature in a plain but very large font.
Click "OK" when you're finished creating your signature.
Click "OK" at the bottom of the pop-up box.
Test your new signature by creating a new message. If your signature appears, you've completed the process. If it doesn't appear in your new message, please place a TechHelp ticket for someone to provide assistance.
Calendar
Each campus typically has a master calendar with all campus events; ask one of the secretaries on your campus for access.
You can use your Outlook calendar to keep track of appointments and other events. You can also color-code your calendar entries and set reminders, if needed.
Click the calendar icon in the bottom left corner of your Outlook software to view your current calendar.
Contacts
You automatically have access to all CISD employees' email addresses in your Outlook software. To find a particular person in the district whom you've never emailed before, open a new email. In the "To" box, start typing the employee's name. Click the "Check Names" button above the "To" field. If the recipient is the only person with that name in the district, his/her email address will automatically be filled in in your "To" box. If there is more than one person in the district with that name, a pop-up box will appear so you can choose the correct person.
Using the system described above, you should also have access to student email addresses. The difference between staff and student email addresses are:
Staff: Naming convention is FirstName.LastName@southlakecarroll.edu. The only way a staff member will have a number in his/her email address is if there are duplicate names in our district; in those cases it's usually only one number.
Students: Naming convention is FirstInitialLastNameLast3DigitsOfsNumber@southlakecarroll.edu. For instance, Charlie Dragon, whose sNumber is 123456 would have this email address: cdragon456@southlakecarroll.edu.
Contact groups can be helpful when you need to email a large group of people frequently (like your students' parents). Click the people icon in the bottom left corner of your Outlook software to view your current contact list.
School Email on Your mobile device
There are two ways in which you can view school email on your mobile device:
Download the Microsoft Outlook app for your device. Follow the directions within the app to set up your email.
Preferred Method
Add your Outlook email to the native mail app on your device.
Phishing
Carroll ISD has implemented an email system, Mimecast, to help block spam messages. A few things to look out for:
If you are expecting an email from someone (outside of CISD) and do not receive it, please enter a ticket and we can find the email and push it through.
If you receive an email that says “This message triggered content policies” and the message is not spam and you would like to view the message, please enter a ticket and we can find the email and push it through.
Occasionally Mimecast will randomly select emails with URL links for training purposes. See screenshot below. If you believe the link is safe click the “It’s Safe button”. You will receive confirmation that the link is safe, then click the Continue to Page button.

DO NOT share your password with anyone.
double-check the email address of senders whom you've never interacted with before -- especially if the email asks you to fill out a form, click on a hyperlink or reply with personal information.
promptly notify the Technology Department (either by submitting a ticket in TechHelp or by calling the Help Desk directly at ext. 8260) if you suspect you've been the victim of a phishing attempt.
In an effort to combat phishing attempts and malware infections, the Technology Department has implemented an email feature to capture your attention. When Outlook flags a message as “outside the organization”, you’ll see a banner at the top of the incoming email. This serves as a visual cue to proceed with caution. The banner below will be inserted at the top of emails that do not come from our servers.
