Activity Board Meeting
April 6, 2022
President Bill Payne called the meeting to order at 12:55 pm.
Matt, park manager, discussed future plans for the park and listened to/discussed items desired by board members.
Minutes
Nancy Francke motioned and Earlene Nelson seconded the motion to accept the March 27, 2022, minutes. The motion passed.
Treasurer's report
In the absence of a treasurer, president Bill Payne gave a treasurer's report. There is currently $19,381.62 in the treasury.
Committee reports
Carl Nix reported that 42 people attended the ice cream social on April 3, 2022.
April 10, 2022, may be the last ice cream social for this season.
Nancy Francke reported that 98 people attended the spaghetti dinner.

Activity Board Minutes
March 27, 2022
President Bill Payne called the meeting to order at 1:02 pm.
Roll call: All elected members of the board were present.
Minutes: The minutes from the March 9, 2022, board meeting and the minutes from the Activity Board and Resident Council joint meeting were presented. Nancy Francke moved and Carl Nix seconded to accept the minutes. The motion passed.
Treasurer's report: With the treasurer's position being open at this time, president Bill Payne gave a brief report.
Committee reports:
Nancy Francke reported that 107 people attended the hamburger luncheon, 40 people attended the breakfast, and 395 people were served at the St. Patrick's Day dinner.
Bill Payne stated that there will be a food truck here on April 5, 2022, from 4-7:00 pm.
Carl Nix reported that on 3/13/22 there were 30 people attending the ice cream social and on 3/20/22 there were 60 people.
Old business:
Bill Payne presented a revised entertainment schedule for 2022-2023.
Bill Payne had discussed various issues with the park manager as follows: The cabinets for the kitchen will arrive unfinished unless finished cabinets can be obtained for a similar price. The park manager will discuss the electrical circuits in the club house with Arcadia Electric. The screen around the pool will be repaired when the needed materials arrive and an installer obtained.
The new counter tops in the kitchen will be concrete.
New business:
A wish list of items for the 2022-2023 year for which ELS will pay needs to be made.
An additional person needs to be trained regarding the lights in the club house.

Activity Board Minutes
March 9, 2022
President Bill Payne called the meeting to order at 1:00 pm.
Roll call: All elected members of the board were present
Minutes: Carl Nix motioned and Ron Beauchamp seconded the motion to accept the minutes of the February 22, 2022, meeting.
Treasurer's report: Present was Jake McCusker, who had audited the books and was available for questions. All was in order. Ron Beauchamp, treasurer, gave the report for February. The books balanced. Marcel Lacombe moved and Nancy Francke seconded the motion to accept the report.
Committee reports:
Carl Nix reported that there were 134 people attending the Mardi Gras ice cream social.
Nancy Francke discussed upcoming meals and needs.
Bill Payne presented the show itineraries for 2022-2023. This list will be presented separately. Also, Diana Bradley has consented to be the hostess at the Friday morning coffee and business meetings for the 2022-2023 season.
Old business:
Betty Toutloff related that notification of the yard sale was too late to appear in the Shopper, but did appear in Facebook under “Let's Hear It Arcadia”.
New business:
Ron Beauchamp resigned from the Board due to health reasons.

Activity Board & Resident Council
Joint Meeting
March 7, 2022
The meeting was called to order at 2:00 pm.
Attendance: All members of each group were in attendance.
Goal: to work together and make Toby's a better place to live
Discussion:
The kitchen is supposed to be completed next season. Bill Payne will find out further details, e.g. remodeling and wiring.
The activity board is responsible for the club house and pavilion. Matt is in charge of the manager's house.
Pool maintenance is now done at night.
Encore in Tampa is in control of the air conditioning in the manager's house according to Matt.
When the current contract with the owners of the washers and driers expires,
new owners will be hired.
Conclusion: The meeting ended at 2:50 p.m.
Activity Board Minutes
February 22, 2022 - 1PM
Meeting called to order by President Bill Payne.
Roll call: Present were President Bill Payne, Vice-president Nancy Francke, secretary Betty Toutloff, treasurer Ron Beauchamp, and trustees Carl Nix, Earlene Nelson and Marcel Lacombe.
Minutes: The minutes of February 8th were read. Nancy Francke made a notion to approve the minutes and it was seconded by Earlene Nelson.
Treasurer Report: Ron Beauchamp report that we have $22,595.38 in the checking account as of February 22, 2023.
Old Business:
We would like to thank Sandy Yacino and her crew for the work on the Derby Party held on February 12th. It was greatly appreciated and was a very profitable evening. Many good comments were heard about this event.
We received a letter from Joe Yacino stating that he had returned all items belong to the activity board upon his resignation as of January 3, 2021.
New Business:
Review of the March 2022 calendar took place with updates.
With the change of treasurer and audit was conducted on February 16, 2022 for the period of April 21, 2021 thru January 22, 2022. Please see the attached report from Jake McCusker with his response. CLICK HERE FOR REPORT
Committee reports:
Entertainment - Partial bookings confirmed for 2023
Ice Cream Social - February 13 - 30 people, February 20 - 38 people.
Kitchen - Soup and Sandwich by Sara McVicker had 41 people attend with 1 no show. Breakfast by Ron Beauchamp had 76 people attend with 6 no shows. Each of these were profitable events. Thanks to all the people that helped make these events happen.
Adjournment:
Bill Payne made a motion to adjourn the meeting and it was seconded by Earlene Nelson. The motion passed.
The next meeting will be March 9th at 1 pm.

Activity Board Minutes
February 8, 2022--1:00 pm.
Roll call:
All elected members of the board were present: Bill Payne, Nancy Francke, Betty Toutloff, Ron Beauchamp, Marcel Lacombe, Earlene Nelson, and Carl Nix. Nancy Francke read a letter of resignation from Gerry Pratt. Thus, Earlene Nelson is replacing him.
The new activity board began by choosing a president. Bill Payne was nominated as the sole nomination, he accepted, and the board voted to elect him.
Minutes:
The minutes from January 31, 2022, and the minutes from the annual meeting on February 4, 2022, were read. Nancy Francke moved and Ron Beauchamp seconded the motion to accept the minutes as read. The motion passed.
Positions: The following positions were nominated, seconded, and passed.

Vice-president: Nancy Francke
Secretary: Betty Toutloff
Treasurer: Ron Beauchamp
Trustees: Marcel Lacombe, Earlene Nelson, Carl Nix
Financial: Per the by-laws, when a new treasurer is installed, the financial books are to be audited. This will be done as soon as possible.
Nancy Francke reported that 256 people were served at the rib dinner and the final cost was $2326.88
Committee positions were assigned. For those positions, consult a board member.
Calendar: The majority of the meeting consisted of planning the calendar and making work assignments for each activity.
Adjournment: Nancy Francke moved and Earlene Nelson seconded the motion to adjourn the meeting. The meeting adjourned at 3:20 pm.

Activity Board Annual Meeting February 4, 2022
The activity board annual meeting was brought to order at 9:00 am. Opening remarks:
President Ed Noyer announced that according to the by-laws, there must be a minimum of 150 association members present to conduct a formal meeting. Since fewer than 150 members were present, an informal meeting must ensue. Diana Bradley moved and David Witherell seconded the motion to hold an informal meeting. The motion passed.
Roll call:
Present were president Ed Noyer, vice-president Nancy Francke, treasurer Gerry Pratt, sec;retary Betty Toutloff, and trustees Carl Nix, Earlene Nelson, and Margaret Korozs.
Minutes:
The minutes of the annual meeting on February 5, 2021, were read. Duane Heisey moved and Tom Brown seconded the motion to accept the minutes as presented. The motion passed.
Annual financial report:
Gerry Pratt gave the financial report for the past fiscal year: 1. Income--$11,813.08
2. Cost of goods sold (breakfast & rib dinner)--$5105.88
3. Expenses--$6,991.76
4. Net profit/(loss)--(284.56)
5. Checking account balance--$20,813.97
Diana Bradley moved and Duane Heisey seconded the motion to accept the financial report. The motion passed.
Questions from the residents:
Ed Noyer opened the floor to questions or problems. He suggested that if anyone has a proplem, he should also state a solution to the problem. There were no questions or problems presented by the residents.

Sue Reynolds moved and Jeff Hartman seconded the motion to adjourn. The motion passed. The meeting was adjourned at 9:12 am.

Activity Board Minutes January 31, 2022
President, Ed Noyer called the meeting to order at 9:00 am. Roll call:

The minutes from January 17, 2021 were read. Carl Nix moved and EarleneNelson seconded the motion to accept the minutes as read. The motion passed.
Treasurer's report:
Gerry Pratt gave the treasurer's report in detail. It all balanced. Margaret Korozs moved and Earlene Nelson seconded the motion to accept the report as made. The motion passed.
Committee reports:
Gerry Pratt reported that on 2/19/22 Sal & Andrea will be performing and on
2126122 Tidal Wave will be performing.
Carl Nix reported that on 2/23/22 there were 21 people in attendance at the ice cream social and on 1130/21 there were 23.
Nancy Francke discussed the details for the rib dinner. Nancy Francke moved and Gerry Pratt seconded the motion to refund $10.00 to the rib dinner attendees. The motion passed.

January 17, 2022
President, Ed Noyer, called the meeting to order at 9:15 am.
Roll call:

The minutes from December 24, 2021, January 5, 2022, and January 8, 2022, were read. Nancy Francke moved and Earlene seconded the motion to accept all of the minutes as written. The motion passed.
Treasure's report:
Gerry Pratt gave the treasure's report. Carl Nix moved and Margaret Korozs seconded the motion to accept the report as made. The motion passed.
Committee reports:
Gerry Pratt reported that he is working on the entertainment for February 19, 2022, and February 26, 2022.
Margaret Korozs was appointed as the concessions manager.
Carl Nix reported that on January 9, 2022, there were 45 people attending the ice cream social and 38 people on January 16, 2022.
At Jamming on January 18, 2022, Bill Payne will be in charge of the 50/50. Nancy Francke will be in charge on January 25, 2022.

Nancy Francke moved and Margaret Korozs seconded the motion that members of the Jammin' band and their spouses be treated to the park's rib dinner as a thank you for their contributions to the park's entertainment. The motion passed.

Carl Nix reported that the Desoto County fire department will be having a lasagna dinner in the clubhouse, open to the public, as a fund raiser for the fire department on February 23, 2022.

January 5,2022
President Ed Noyer called the special meeting to order at 12:15 pm.
Roll call: Present were president Ed Noyer, vice-president Nancy Francke, secretary Betty Toutloff, treasurer Gerry Pratt, and trustees Carl Nix and Earlene Nelson.
President Ed Noyer related that Matt, park manager, had requested that a French Canadian be appointed to the activity board to replace Joe Yacino, who had resigned. Per that request, Ed consulted various people, both American and French Canadian, to see if they were interested in filling the vacant position and all were not interested. Also,would they consent to having Margaret Korozs, who Matt recommended, fill that position if she were appointed. There were no objections. Therefore, Ed appointed her with full approval of the other board members.
Adjournment: Earlene Nelson moved and Ed Noyer seconded the motion to adjourn. The meeting adjourned at 12.25 pm.

Nancy Francke related that notices of the rib dinner need to be posted in several places. Nancy Francke moved and Gerry Pratt seconded that this be done. The motion passed.
Tickets for the dinner will be sold January 9-15, 2022.
Carl Nix reported that the price of ice cream and especially cherries has risen. Attendance at the ice cream social on January 2, 2022, was 64.

President, Ed Noyer, called the special meeting to order.

Activities:
Carl Nix moved and Gerry Pratt seconded that all people, including children, attending activity board activities need to have an activity card or pay $10.00 each. Those under the age of 18 need to be under adult supervision. Children are not allowed to attend activities that involve gambling. The motion passed.
Jamming:
Nancy Francke moved and Carl Nix seconded the motion to have Lori Adams manage
jamming. The motion passed.

Activity Board Minutes
December 20, 2021
President, Ed Noyer, called the meeting to order at 9:07 am.
Roll call: Present were president Ed Noyer, vice-president Nancy Francke, secretary Betty Toutloff, treasurer Gerry Pratt, and trustees Carl Nix, Joe Yacino, and Earlene Nelson. Also present was Sandy Yacino, who was only present for a discussion regarding Mardi Gras and the Kentucky Derby at Toby's.
Sandy Yacino:
In the past, Mardi Gras was held on the Sunday before Fat Tuesday. Therefore, the event this season would take place on Sunday, February 27, 2022.
The Kentucky Derby date will be changed to February 12, 2022, per the motion made by Carl Nix, seconded by Nancy Francke, and passed. Tickets are to be sold in advance. There will be a silent auction and horse racing. There will not be a 50/50 drawing.
Treasurer's report:
Gerry Pratt presented the treasurer's report, which will be posted later.
Committee reports:
Nancy Francke reported that the rib dinner, which is for activity card holders, will be on February 1, 2022, at 4:00 pm. Joe Yacino moved to hire Willie (the cook that has been hired in the past), Carl Nix seconded it, and the motion passed. Nancy Francke moved that the cost be $10.00 per activity card holder and $20.00 per guest, Gerry Pratt seconded it, and the motion passed. Money is to be collected from card holders from January 7-14, 2022. Non-members may sign up for the dinner and pay $20.00. Nancy Francke moved and Carl Nix seconded that, depending on expenses, some money may be returned to card holders, but no money will be returned to non-card holders. The motion passed.
Nancy Francke reported that there will be a breakfast on January 15, 2022, at 8:00 am, which will include eggs and sausage. Sign up sheets will be posted December 31, 2021. She also reported that coney dogs will be served at noon on January 26, 2022.
Gerry Pratt reported that the New Year's Eve dance will feature recorded music and will run from 9:00 pm-12:15 am. Cindy will provide music prior to that time.
Carl Nix reported that ice cream attendance on December 12, 2021, was 36 and 40 on December19,th.
Nancy Francke moved and Earlene Nelson seconded that concessions be open at all Saturday entertainment. The motion passed 5-1.

Activity Board Minutes
December 6, 2021
President, Ed Noyer, called the meeting to order at 8:52 am.
Roll call:
Present were president Ed Noyer, vice-president Nancy Francke, secretary Betty Toutloff, treasurer Gerry Pratt, and trustees Carl Nix, Joe Yacino, and Earlene Nelson.
Minutes:
The minutes of the previous meeting were read. Carl Nix motioned to accept the minutes as written and Earlene Nelson seconded the motion.
Committee reports:
Entertainment:The dance floor will be open for dancing during the show of vocalist Teresa Lendsey on December 11, 2021.
Concessions: Joe Yacino requested that people in charge of events that use the kitchen empty the garbage, especially if food is in the bin. Bags of chips are $.75.
75-80 people have signed up for the hamburger lunch.
Sunday ice cream social: Carl Nix reported that there were 35 people in attendance on November 27th and 25 people on December 5th.
Decorations: Janet Carrington has agreed to be the chairman.
Christmas golf cart parade: Carol Madden has agreed to be the chairman.
Mardi Gras: The event will be March 1, 2022. A chairman is needed.
Kitchen: Nancy Francke reported that the Welcome Back event will be January 12, 2022.

New activity card member names need to be recorded by every Friday.
It was agreed that the Christmas dinner this year will begin at 1:00. Gerry Pratt moved and Nancy Francke seconded the motion that next year the dinner is to be at 4:00 pm. The motion passed.
Nancy Francke moved and Carl Nix seconded the motion that the Thanksgiving dinner on November 24, 2022, is to be at 1:00 pm. The motion passed.

Activity Board Minutes
November 22, 2021
President, Ed Noyer, called the meeting to order at 9:00 am.
Role Call:
Present were president Ed Noyer, vice-president Nancy Francke, secretary Betty Toutloff, treasurer Gerry Pratt, and trustees Carl Nix and Joe Yacino. Absent was Earlene Nelson, excused.
Minutes:
The minutes of the previous meeting were read. Carl Nix motioned to accept the minutes as written and Joe Yacino seconded it.
Committee reports:
Entertainment: Gerry Pratt reported that Teresa Lindsey will replace Sal and Andrea for the show on December 11, 2021.
Sunday ice cream social: Carl Nix reported that on November 12, 2021, there were 14 people for ice cream and 25 people on November 19, 2021.
Kitchen: Nancy Francke reported that supplies have been ordered and are arriving. Since prices have risen substantially, it may be necessary to raise the price for meals.
Equipment: Carl Nix explained about the new ping pong table and equipment that is now in the dart room in the club house.

Time is allotted for tennis on the calendar.
It was approved that Diana Bradley and Sandy Yacino will be holding a Kentucky Derby on March 12, 2022.
The Arcadia band will be performing here on March 9, 2022.
The appreciation rib dinner scheduled for February 1, 2022, is tentative.
The cost charged for water is now $.50 and pop is $1.00.
' Mardi Gras is in need of a director and the date is to be determined.
During December, 2021, there will be karaoke on Tuesday evenings.
A card game of Ready, Aim Fire date is to be determined.
The next activity board meeting is to be December 6, 2021.

Activity Board Minutes
November 8,2021
President, Ed Noyer, called the meeting to order at 8:56 a.m.
Role call:
Present were president Ed Noyer, vice-president Nancy Francke, secretary Betty Toutloff, and
trustees Carl Nix, Joe Yacino, and Earlene Nelson (replacement for Paul Eversole).
Paul Eversole submitted a letter of resignation on August 8, 2021.
Minutes:
The minutes of the previous meeting were read. Nancy Francke moved to accept them and Carl Nix seconded the motion. All were in favor.
Committee reports:
Nancy Francke reported that each board member is responsible for conducting one park meal and is responsible for obtaining a crew to implement it, including clean up.
Also, kitchen cabinets are scheduled to be delivered on November 15, 2021. After discussion, it was agreed that the cabinets are to be stained a light color and then covered with clear coat.
Committee assignments were reviewed.
Serge Fortin will be providing music on December 4, 2021, and the entertainment on December 11, 2021, has been canceled by the entertainer.
Carl Nix reported that 22 people attended the ice cream servings on November 7, 2021.
Old business:
Nancy Francke reported that the park directories are to be picked up in the office only and that only those who have their names in the directory may have one.
New business:
The Welcome Back dinner will be on January 12, 2022.
There is to be a park wide yard sale on December 4, 2021.
There is to be a dance open to all park residents on November 20, 2021. No activity card membership is necessary.
It is still to be determined whether or not karaoke will replace jamming.
The next activity board meeting is to be November 22, 2021.
