Tournament procedures

Bout committee procedures:Planning phase: Verify schedule with venue representative. Verify schedule with armorer. (David B.) Verify schedule with floating and permanent bout committee members. Verify schedule with secretary. (Chris G.) Hire referees. (Responsibility of the BC, but check with Juan Ignacio C.) Post current information on Askfred.net and add BC members. The week before: Pick up the cash box or schedule with the treasurer. (Report the amount of currency inside the box in writing.) Morning of: Set up tables for bout committee and armorer. Setup one laptop for foil/saber and one for epee. Alternatively, one laptop for the event and one for walk-in memberships. Set up wireless access point unless the venue already has wi-fi. Post signs directing to the venue at all gates. Download current and expired USFA membership to laptop. Download pre-registration from Askfred.net and set up Fencing Time. Pay the venue. Tape strips and set up tables. Post strip numbers. Print sign-in sheets from Fencing Time. (Dropbox\Fencing Forms\tournament signs) Distribute weights, shims and timers. Afternoon of: Lunch for the referees and bout committee. Print labels for the medals. (Dropbox\Fencing Forms\medals (avery 5160).doc) Close of: Hand out medals after each event and give rating cards. Return the venue to it's original state including policing garbage, turning off lights and locking doors. Return the cash box to the treasurer. (Report the amount of currency inside the box in writing.) Give new membership forms to the treasurer. Turn in all receipts to the treasurer for reimbursement. Remove wireless access point. Export the results to Askfred.net Mail/e-mail the rating changes to the USFA.
