A Local Government Unit maybe considered a Site Coordinator who handles a single cleanup site or an Area Coordinator who is responsible for 2 or more sites or barangays. However, an LGU may join as a group and just be a volunteer on ICC Day (see Guidelines for Group Coordinators and Volunteers). Being a Site or an Area Coordinator shares some responsibilities to ensure success of every cleanup event. He is responsible for organizing and facilitating the activities in one or more locations on the day of the event. Such tasks include the identification of a safe cleanup site or sites for group volunteers to choose from, the creation of a working group to organize and facilitate the event, orientation of group coordinators, provision of cleanup materials and supplies, trash haulers and first-aid personnel; promotion of the event, local sponsorship identification, setting-up of stations on ICC Day and submission of cleanup reports, among others.
Before the Cleanup
If you opt to be a Site Coordinator:
Register online at the ICC Philippines website or send an email to iccphilippines@gmail.com.
Identify your cleanup sites. Be sure it's safe, accessible.
Know the basic information about ICC and its mechanics by visiting our website.
Create a working group to help in organizing the cleanup. Make a plan with timeline and role assignments for the group. Plans will include provision of cleanup materials & tools, snacks, water, weighing scale, first-aid personnel and garbage/trash hauler.
Invite organizations, companies, schools and clubs to join your Cleanup.
Promote your cleanup event through email, social media, website page, flyers or tarpaulins.
Contact local sponsors to support your cleanup (optional).
Finalize all preparation activities. Make sure all cleanup materials, tools & other provisions are ready:
Cleanup materials: sacks/net bags, additional data forms, masks and rubber gloves (optional)
Cleanup tools (broom sticks, rakes, shovels, scooping nets, etc. )
Other provisions (water and first-aid / health emergency personnel)
Tables, chairs, tents (optional); PA system (megaphone or portable microphone), portable toilet (if available), water for washing, weighing scale
Garbage/trash haulers
ICC program and guests for the kick-off ceremony
People assigned to document the event
Tarp, banners or signs (to guide volunteers to the site) (see templates at the ICC Philippines website)
T-shirts and certificates (optional) (see templates at the website)
Final ocular survey of the cleanup site to determine proper siting of stations. Prepare a layout map of the cleanup area with designated stations for registration, first-aid, washing, sorting, etc. to guide volunteers
Cancellation and rescheduling of the ICC event due to weather or security concerns will be upon the discretion of the LGU Site Coordinator. Inform Group Coordinators and volunteers on the rescheduled date.
As a Group Coordinator or a Volunteer, follow the detailed guidelines for Group Coordinators and Volunteers:
Look for a Cleanup site. Check your local ICC Coordinator, such as, BLGU, City/Municipal Govt. (CENRO/PENRO), DENR and other government agencies, NGOs and other organizations for their announcements on ICC Day event. You may inquire by email if there's a possible cleanup site available for you to join.
You have the option to choose your own cleanup site. Invite friends, families and neighbors and do a group or small-scale cleanup in your neighborhood, waterways, parks or riverside in coordination with the local barangay for assistance (i.e. hauling of collected trash).
Know about ICC. Visit the website to learn about the basic information about ICC and its mechanics, proper collection of trash and data recording. Group Coordinators are tasked to orient members about the Cleanup
Prepare cleanup materials and tools for ICC Day (sacks, trash data form, tongs or grabbers, gloves)
On ICC Day
As a Site Coordinator:
Before 5 am, set-up areas or stations for the kick-off ceremony, registration, first-aid/drinking, and cleanup materials distribution. Set areas for weighing, washing and hauling. Mark each station to guide volunteers. Post banners or signs to direct participants to the cleanup site. Cleanup materials (sacks and gloves), trash data forms, ball pens, registration forms and a labeled box for returning accomplished forms must be ready at the Registration/ Receiving Area.
Remind the tasks/responsibilities of persons assigned during ICC Day event.
During the kick-off ceremony, remind volunteers on health and safety, what to do during emergencies, proper data recording and other do’s and don’ts during the cleanup.
Oversee all ICC activities from collecting, sorting to hauling of trash bags/sacks. If possible, debris items that are recyclable such as, glass bottles and beverage plastic bottles are segregated. Make sure the waste hauler takes all the trash away.
Remind the Receiving Area to check returning data forms - if they are properly filled-out and no information missing (such as, site name, name of school and coordinator, weight of trash, number of bags, etc.) — every detail of data is important. If possible, fill the name of the cleanup site ahead so that volunteers will not misrepresent your site. The Receiving Area should have a labeled box for all accomplished data forms.
Give a short thank you message or give out certificates of appreciation (if available) to conclude the cleanup event
As a Group Coordinator or Volunteer:
Be at the cleanup site by 6:00 AM. Your group should be at the cleanup site by 6 am or earlier, depending on the time schedule given by the Site Coordinator. Pre-registered group can proceed to the specified Registration station to check on their assigned area and be given provided materials for the cleanup. Walk-ins have to register and will be directed to their cleanup area.
Remind volunteers on health and safety precautions: Before proceeding to the cleanup area, remind volunteers to wear face mask and gloves and be safe - watch out for sharp and pointed objects, slippery surfaces and hazardous debris. Divide volunteers into groups with 3-5 members and remind them to collect trash they can carry and count, not to collect natural items, such as, coconut husk, driftwood, seaweed, & water lilies and to report any dead or entangled wildlife.
Proceed with collecting, sorting, data recording and disposal of trash.
One member of each group will be in charge of data recording. Remind them to use tick marks and numbers, not words such as, many, sacks or kilos for the total tally count. Instruct team to return trash back into the sack after recording. Determine its weight using a scale or estimations (i.e., 1 sack of trash = 6-7 kg).
Be sure all trash bags/sacks are brought to the hauling area.
Submission of data results. Summarize and submit your accomplished Volunteer Trash Data Form or Coordinator Trash Data Form to the Site Coordinator. Provide a copy of the form to ICC Philippines by taking a mobile snapshot (front and back pages) and email to: iccphilippines@gmail.com for quick monitoring of results and to ensure your data reaches us.
Take as many photos as you can. Document your cleanup event by taking pictures/videos which you can share with family and friends. Please also share or send some of them to ICC Philippines by email together with a copy of your data form.
After ICC Day
As a Site Coordinator:
Summarize all data collected.
Collect and check data forms submitted by the Group Coordinators, if properly filled out and no information missing. Required information include site name and location; mode of data collection; date of cleanup; total number of volunteers; total weight of trash collected, number of sacks filled and number of filled sacks and total distances covered.
Summarize data into the Coordinators Ocean Trash Data Form. Separate the data collected from underwater or watercraft cleanup. Get the GPS or coordinates of your cleanup site at Google Map. Right click on the location and choose "what's here" for the coordinates to appear.
Submission of Data Results.
Submit your data results by email or online at the ICC Philippines website.
You may submit photos or snapshots of the forms by email provided they are readable and complete.
If you are reporting to an Area Coordinator, furnish him/her the results as early as possible. Send a copy to ICC Philippines for immediate results monitoring.
Share your photos, videos and stories about your cleanup event to social media and website page. Submit high resolution pictures (>1 MB) to ICC Philippines together with your report.
Recognize your coordinators, sponsors and volunteers. Send a follow-up e - thank you letter or can give out your own certificate to recognize their efforts. Certificate templates can be downloaded from the website.
As a Group Coordinator or Volunteer:

Inquire about individual certificates from your Site Coordinator. E-copies of the ICC certificate for Group Coordinators and individual volunteers can be downloaded at the ICC Philippines website.
