The purpose of this policy is to provide a safe and transparent framework that encourages employees, contractors, and stakeholders to raise concerns in good faith. It establishes clear procedures for reporting and investigating misconduct, ensuring that all reports are handled confidentially, impartially, and without bias. By protecting whistleblowers from retaliation or adverse consequences, this policy reinforces Simulanis’ commitment to fostering a workplace culture built on trust, responsibility, and ethical practices.
This policy applies to all individuals associated with Simulanis, including full-time, part-time, and probationary employees, as well as contractors, freelancers, consultants, interns, trainees, remote staff, and, under specific conditions, vendors and third-party partners. It covers matters directly linked to workplace integrity, organizational compliance, and ethical conduct, while excluding purely personal disputes or grievances that are unrelated to work.
Confidentiality: The whistleblower’s identity and details of the report will remain strictly confidential.
No Retaliation: Individuals reporting concerns in good faith are protected from retaliation or adverse consequences.
Good Faith Reporting: Concerns must be raised honestly with reasonable belief of misconduct.
Impartiality: All reports will be investigated fairly, respecting the rights of all parties involved.
Covered under this policy:
Misuse of power or authority
Illegal activities (fraud, theft, bribery, corruption)
Ethical violations or breaches of company codes
Health, safety, and environmental risks
Harassment, discrimination, or workplace misconduct
Regulatory or internal policy non-compliance
Misuse of company assets or confidential information
Not covered under this policy:
Personal grievances unrelated to work
Anonymous complaints lacking sufficient detail
External disputes with no workplace impact
Malicious or bad-faith reports
Issues already investigated and resolved
This policy applies to:
All Simulanis employees (full-time, part-time, remote, and probationary)
Contractors, freelancers, and temporary workers
Interns and trainees
Team leaders, managers, and cross-functional teams
Vendors or third parties (in cases directly impacting workplace integrity)
Report Submission
Concerns should be submitted directly to the Whistleblowing Committee using the Whistleblowing Form [Link]. Reports will be handled with strict confidentiality.
Investigation
The Whistleblowing Committee will conduct a thorough, impartial investigation. This may include interviews, document reviews, and fact-finding. Findings will be documented in the Whistleblowing Investigator Form [Link].
Outcome Communication
The committee will share the outcome and corrective actions with the relevant parties while maintaining confidentiality.
Acknowledgement & Closure
The whistleblower will be informed of the resolution, and the case will be closed once all issues are addressed.
The Whistleblowing Committee ensures transparency, fairness, and impartial handling of all reports.
