The primary objective of introducing an Attendance Tracking Policy is to ensure uniformity and punctuality across the organization. As Simulanis is a collaborative work environment, where output is dependent on teamwork, it is mandatory to maintain a universal time behavior for all employees.
At Simulanis, attendance is tracked automatically using our biometric system. The Biometric System is synced with our HRMS (Human Resource Management Software) which records the daily attendance which can be accessed by each employee on their personal Attendance Dashboard.
Employees must clock in and clock out for each shift. If there is any problem recording a clock-in or clock-out, employees should inform the manager immediately. Employees who consistently fail to clock in or clock out may receive disciplinary action up to and including loss of pay and in extreme cases, termination of employment.
Employees are expected to regularize such clock-in / out in the system at the earliest for any late arrivals, early departures or excused leave of absence with the approval of respective Managers; failing which, Loss of Pay (LOP) rules will apply.
Late to office by more than 1 hour for 3 days in a week : 1 day leave
Early departure from office by more than 1 hr for 3 days in a week : 1 day leave.
Employees are required to report an absence by call, email or application, as applicable in the organization. Failure to inform at leasr one hour prior to a shift start time will result in a no call-no show and subsequent LOP.
Appropriate leave has to be applied promptly within a reasonable period of time for such unscheduled leave of absence, failing which LOP will be applied for that day(s).
In the event an LOP has been applied and the respective Manager feels appropriate to reverse such action, then LOP Reversal has to be informed to the People Operations Team for those days so that the employee shall receive back the deducted pay in the next pay cycle.
Additional paid leaves may be granted for funerals, court duty, accident, medical appointment and such unavoidable emergencies. In these cases, employees must provide documentation when demanded to prove the reason for absence.
Management can take a decision to excuse genuine and valid leaves of absence on the basis of documentation or fact findings performed by them as deemed fit.
Any Deviation from this policy has to be approved by the People Operations Lead.
1. Clocking In and Out
Employees should note their work start and end times.
If there's a problem, tell People Operations Team through email.
2. Making Up for Missed Time
If you're late, leave early, or are absent for an approved reason, correct it in the system.
If you don't, you might lose some pay based on these rules:
Being over 60 minutes late for three days in a month means losing a whole day of leave.
Leaving work more than an hour early for three days in a month means losing a whole day of leave.
3. Grace Period
You have five minutes leeway at the start and end of your shift, breaks, and lunch.
4. Reporting Absences
If you can't come to work, email or use the company app.
Call an hour before your shift starts.
If you don't call on time, it's a "no call-no show," and you might lose pay.
5. Unscheduled Time Off
If you need time off unexpectedly, apply for leave as soon as you can.
If you don't, you might lose pay.
6. Getting Lost Pay Back
If your manager thinks it's okay, they can give your lost pay back by requesting a "LOP Reversal," and you'll get it in your next paycheck.
