3. Simulanis Standard Practices:
Simulanis prides itself on creating a world class culture with a professional and productive work environment that fosters growth, innovation, and employee satisfaction. Adherence to these standard practices is crucial for ensuring smooth and efficient workflows, mutual respect among colleagues, and the overall success of our organisation.
Work Timings:
The standard work hours at Simulanis are from 9:30 AM to 6:30 PM, Monday to Friday. To accommodate different needs, we offer flexible hours where employees can start their workday between 9:00 AM and 10:30 AM, provided they complete a nine-hour workday. Any work beyond the standard hours must be pre-approved by the respective manager to ensure proper planning and workload management.
Breaks:
Employees are entitled to a half-hour lunch break, which can be taken between 1:00 PM and 1:30 PM. In addition to the lunch break, two 10-minute short breaks, one in the morning and one in the afternoon, are allowed to help maintain productivity and well-being throughout the day.
Leaves:
Employees have access to a personal dashboard with details of the leave balances available to them. Employees are to note that leaves are prorated according to their joining/exit date and all leave balances are provided in advance. The leave calendar is from January to December. Employees are to proceed on their leaves only when their applications are formally approved by their reporting managers on Keka. It is the responsibility of the employees to ensure that their team members/project managers/clients/vendors/and other vested parties are informed and aware of their unavailability before proceeding on leaves.
Work From Home (WFH)
Employees may request work-from-home (WFH) only on special approval by the Department Head / CEO only. While working remotely, it is the duty of the employee to share their assigned tasks for the day in the beginning of their work day and share the progress report of their tasks to their reporting manager, project / product manager and the People-Operation Lead before logging out for the day.
Task Management
Tasks at Simulanis are assigned by team leads / reporting managers depending on the department. Tasks shall be managed through google sheets. All employees are required to maintain accurate timesheets to track their daily progress.
Leaders have the liberty to plan their own tasks based on their OKRs and present business needs. They must also maintain accurate data of their productivity and share the same with the CEO and the People-Operations Lead regularly.
Communication
Effective communication is vital for our operations. Employees must attend scheduled meetings punctually, whether they are virtual or in-person. Emails should be checked and responded to promptly within working hours, and Slack should be used for quick and formal communications to ensure seamless coordination.
General Code of Conduct
Maintaining professionalism in all interactions within and outside the organisation is a core value at Simulanis. Employees are expected to adhere to a smart casual dress code during working hours, with formal attire required for client meetings and presentations. Confidentiality agreements must be respected, and sensitive information should be handled with the utmost care.
Performance Evaluation
Simulanis conducts performance reviews quarterly to assess employee progress and provide constructive feedback. Key Performance Indicators (KPIs) are established for each employee and reviewed during evaluations. This process aims to help employees improve and grow within the organisation, ensuring alignment with company goals and personal development.
Resource Management
Employees are expected to use company equipment responsibly and maintain it in good condition. Compliance with all software licensing agreements and company policies is mandatory. Additionally, adherence to budgetary guidelines for project-related expenses is required to ensure efficient resource management.
Health and Safety
Workplace safety is a priority at Simulanis. All employees must follow safety protocols and report any hazards immediately. Ergonomic practices should be employed to maintain health and well-being while working. Employees should also familiarise themselves with emergency procedures and participate in drills to ensure preparedness.

Conduct that creates a hostile, intimidating, or uncomfortable work environment due to personal relationships will not be tolerated and may result in disciplinary action.

Outside of work, employees are free to engage on social media; however, any activity that identifies them as Simulanis employees must reflect professionalism and must not harm or misrepresent the company’s reputation in any way. Confidential, proprietary, or client-related information must never be disclosed on any social platform. Employees should not use their company email addresses for external social media accounts or communications, nor should they post company-related content, images, or announcements without prior written approval from the People Operations or Marketing team. Additionally, posting images or information about other employees without their explicit consent is strictly prohibited.
Protecting confidential information and respecting privacy rights builds trust and credibility with employees, clients, customers, and other stakeholders. Failure to protect confidential information and personal data may result in legal liabilities, regulatory penalties, and reputational damage to the organisation. Respecting confidentiality and privacy rights fosters a culture of trust, transparency, and respect within the organisation. Employees and stakeholders feel valued and respected when their confidential information and personal data are handled with care and confidentiality.

The company follows progressive disciplinary action, unless otherwise specified:
Verbal Warning – Performance or conduct issues addressed verbally.
Written Warning – Formal written notice with consequences of recurrence.
Suspension – Temporary removal from duties without pay.
Termination – Immediate dismissal for gross violations.
