Aging claims will be reviewed weekly. Aging claims can be found by clicking on Encounters → Track Claim Status and selecting the claims labeled as “No Response” in drop down menu. Claims will be reviewed and addressed based on date, with oldest claims having first priority.
Any claims that are 30+ days old will require a review and follow up with the specified insurance company. Any actions/updates will be documented by creating a note within the claim (click on “Action” button at the bottom of the screen and select “Note”). Note should include what information was obtained from contacting insurance and additional steps that may be necessary. If claim is not on file with insurance, claim is re-submitted immediately.
A follow up date will need to be selected if further follow up of the claim is needed (click on “Action” button again and select “Set Follow-Up Date”). Follow up date should be set for 2 weeks from the date of current review, unless special circumstances warrant a follow up sooner.
**If manual EOBs are received and claims are denied, enter the denial and make sure the claim status was updated to indicate that is has been denied.
