Summer Withdrawals - When a parent notifies you at the end of the previous school year that their child will not be attending.
No Shows - You have no idea the student is not attending until the first day of school, when they are not there!
Entry Date: July 1, 2025
Exit Date: July 1, 2025
Open PowerSchool SIS and navigate to the NEW (2025-2026) school year.
Pull up the student and Go to Modify Schedule and withdraw the student from any classes. Click "Drop All" and use the first day of school (8/7/2025) as their withdrawal from classes date. If it's a semester class, use the first date of that class.
Go to Scheduling Setup page and clear all info populated (Next Year Grade, Priority, Schedule this student, Year of Graduation, Next School Indicator) if they are leaving our district.
Click on their Transfer Info page.
Under Enrollment, click on Functions, and Transfer Out of School.
Enter a Transfer Comment (moving to Lee Co., etc.), Date of Transfer (7/1/2025), and appropriate Exit Code (not NS1 - the proper WA, WB, or WC code).
Complete the appropriate information at the bottom (i.e. "Withdrawal Signed by Guardian," school info, etc.)
If you get the "County" error, just choose Russell :)
Submit.
***Any student you transfer out prior to July 1 will be a "pending transfer." Anyone transferred after July 1 will transfer in "live" time. Keep a list of any "pending" transfers prior to July 1. After July 1, return to the Transfer Information page. Click on the E and change the Entry Date to 7/1/2025 and the Exit Date/Code of 7/1/2025.
Click on the Transfer Information page. Make sure the following are correct:
Entry Date: 7/1/2025
Exit Date: 7/1/2025
Proper withdrawal code (WA, WB, WC code)
If they are transferring within district or in state, go to Functions and choose Transfer To a School and enter the district and school and press Submit.
Remember, this process is for students who do not show up the first day of school, and you have no record of their withdrawal.

If they are transferring within district, go to Functions and choose Transfer To a School and enter the district and school and press Submit.
Students withdrawing the last day of a school year should be withdrawn from the NEXT school, NEXT school year.
Communication is key. If a student withdraws from LES 5th grade the last day, they should be withdrawn from PCIS with 7/1 as an entry date and 7/1 as an exit date.
We do not do any Enrollment or Exits prior to End of Year Rollover.
If you transfer a student out for the future (example, on 6/23, you tranfer someone out for 7/1), and it is in "pending," but you need to cancel it out or change it, let me know. I will adjust the Enrollment_Transfer_Date_Pend to 00/00/0000 and remove the Pending Transfer.

Withdrawals for Homeschool
Private homeschools that are not accredited will not have transferrable credits/promotions honored upon return. Students returning to Phenix City Schools (PCS) from non-accredited institutions will be subject to grade level placement decisions based on age, PCS promotion/retention policies, and mastery of content determined by assessments. Use the link below to confirm institution accreditation when needed.

DropOuts
Any student, aged 17 or older, that is choosing to withdraw from school prior to graduation requirement completion for the purposes of entering a non-accredited homeschool program, entering the workforce, or obtaining a General Education Diploma (GED), must have an exit interview conducted by the appropriate guidance counselor or graduation coach.
Every effort must be made to maintain their student enrollment to work towards successful graduation.
Provide the informational handout to all exit interviewees and have them sign the Homeschool Withdrawal Letter if that possibility is provided.

Must be obtained for any student that is 17 years of age.
Rename by student Last Name, First Name (Grad Year)- Exit Interview Parent Acknowedlegment Form.
