Go to the Student's Transfer Info Page
Open the 2024-2025 school year entry and change the Exit code to a P and the Exit Comment to Promoted after SOAR.
Open the 2025-2026 school year entry and change the Entry Comment to Promoted after SOAR and the Grade Level to the correct one.
As always, make sure the 2025-2026 school year dates are correct with 8/7/2024 and 5/22/2025 as the entry and exit date.
Go to the Student's Transfer Info Page
Open the 2024-2025 school year entry and change the Exit code to a P and the Exit Comment to Promoted after SOAR.
Open the 2025-2026 school year entry and change the Entry Comment to Promoted after SOAR and the Grade Level to the correct one.
Go to Functions | Transfer Out of School using 7/1/2025 and WA1. Choose Phenix City Schools and the appropriate school from the drop downs.
Go to Functions | Transfer to Another School and choose the new school.
Go back into Transfer Info and make sure your entry date and exit date are both 7/1/2025
As always, make sure the active entry 2025-2026 school year dates are correct with 8/4/2025 and 5/22/2026 as the entry and exit date.
Search for student using the / and their last name
Go to Functions and Re-Enroll in School using 8/7/2025 and changing their grade level to the appropriate one.
Follow Steps in this document for Mid-Year promotion/demotion
From the student search bar, enter the following:
Enroll_Status=0;Web_ID=
Because we are searching for a blank field, make sure to put a space after the last =
This will pull the listing of all students with a blank web_id
With those students selected, click the down arrow under the student listing and choose ID/Password Assignment from under the Functions section
Put a bullet in the "For the selected # students only"
Check Assign Access IDs and passwords
Each Username/Access ID is 6 characters long and is Student's Last Name
Each password is 5 characters long and is Random alphanumeric sequence (suggested, but you can use other if you like)
Check Enable access accounts for processed students and Enable access accounts for processed parents
DO NOT CHECK "Assign Lunch IDs"
Press Submit.
Choose the group for who you want to turn access on or off
If it's all students, click the magnifying glass
Click the arrow and choose Student Field Value
In the field to change, type:
AllowWebAccess (for parents)
Student_AllowWebAccess (for students)
In the New Field Value, type:
1 (to turn ON)
0 (to turn OFF)
Submit and then submit again on the next page
