Telepractice sessions are conducted via Zoom. Graduate Student Clinicians are responsible for recording their sessions and uploading the files to SOARS.
Prior to using Zoom for your sessions, confirm that you have the appropriate account that allows you to record.
It is possible that you may have registered an account with "Free Zoom" to join your classes and not NYU's Zoom. If so, you will need to make a change by filling out the form below. If you do not have an NYU Zoom, then you are unable to record your sessions.
Select "request recording" on the form linked here.
Provide your personal meeting Zoom link to the Clinic Admin Team.
Disable your passcode requirements for your personal meeting room in the settings.
Enable the waiting room for your personal meeting room in the settings.
Upload your sessions to SOARS via the Virtual Desktop. The format for labeling the recordings is Client's Last name, Client's First name Date of Session. e.g., Doe, John 01-01-2001
Before the start of the semester, please review the following settings to ensure your Zoom meeting room is ready for the start of the semester.
The Waiting Room
This is an essential feature for telepractice sessions. Having the waiting room enabled allows students to control when participants join a meeting. It helps maintain client confidentiality if a client joins early or if the student is concluding a discussion with their clinica educator before the start of the session.
The waiting room can be enabled by going to Personal Room settings and selecting the "Waiting Room" under security.
If NYU community members are able to bypass the waiting room, additional settings will need to be adjusted.
Go to account settings and select Waiting Room Options. Under the question "Who should go in the waiting room?" ensure that Everyone is selected.
No Passcode on Room
There should not be a passcode on the personal meeting room. Some clients join using a tablet or their phone, which may require them to type in the Zoom Meeting ID, rather than using the link provided at the start of the semester. Having the passcode enabled adds an additional step to the log in process, and can unnecessarily complicate the start to each weekly session.
The passcode can be removed by going to Personal Room settings and ensuring there is not a checkmark next to the passcode option.
Recording
You do not automatically have the option to record through your NYU Zoom account. Please follow the below instructions to request this access through NYU IT prior to the start of the semester.

Provide your personal meeting Zoom link to the Clinic Admin Team.
If you have lost the record feature after filling out the request link above, please log out of your Zoom account and follow the below steps to log in with your NYU Zoom account.
On the zoom login, please do not enter your nyu email and password, but instead select "Log in with SSO."
For the company domain, please enter nyu.
When the login screen comes up, enter your NetID and password to continue. You should now have access to the features that you were not able to access previously.

Instructions for how to turn on original sound can be found on the Zoom Support site.
Zoom's audio automatically cancels any echoes it detects, which can cause audio to drop when sounds are being sustained. This feature can be adjusted using the instructions above.
