Student Rosters & Attendance Tracking can be viewed and managed in the NYFA Faculty Hub.
"Student Roster" refers to the list of students assigned to take a course.
In general NYFA programs are completed by students following a prescribed curriculum. This prescribed curriculum is made up of courses in a set scaffolded order. This is unlike most other colleges where students pick and choose courses to fulfill general degree requirements. (Only if a student has failed or withdrawn from a course or transferred in credits, do they move off the prescribed curriculum.)
Prescribed Curriculum means that students move through their programs in assigned cohorts associated to the course catalog year of their first semester. Therefore students who started their first semester of the BFA Acting Program in Fall 2024 will be part of the Fall 2024 BFA Acting for Film cohort.
Sometimes a cohort is so large that it is split into multiple sections to maintain class size and a reasonable teacher to student ratio. NYFA denotes these sections as A, B, C etc. If there is only one section that will still be denoted as Section A.
Students in the same cohort and the same section will appear on the same student roster for a course.
There may be multiple student rosters associated with one course because multiple cohorts can be assigned to take one course.

If you have any students attending your classes who do not appear in your roster, please reach out to the registrar (laregistrar@nyfa.edu (LA), registrar@nyfa.edu (NY) and sbregistrar@nyfa.edu (Miami) and CC your department Chair. There may be an issue with the roster, or the student may not be in that class and allowed to attend. Either way, you will need to reach out to help us sort it out.
Instructors must inform their Chair or the Registrar immediately if there is a discrepancy between the course roster and the students attending class.
If there is a student in the class but not on the roster, write down the name of the student and send it immediately to the Registrar and the Chair.
If there is a name on the roster and the student is not in the class on the first day, please mark the student absent (LA and Miami) or assign the Daily Grade of “F” (NY) and inform the Registrar’s Office AND the Chair to make sure that the student should be in your class. Follow up with your Chair prior to the next class to make sure that student should be in your class.
Do not wait to report discrepancies on your roster.
While there is no institution-wide attendance policy at the New York Film Academy, each department and course have academic policies and grade breakdowns that will be impacted by non-attendance.
Students' academic performance will suffer if they are not in class to participate in the work that is required of them. Students are expected to refer to each course syllabus for the specific grading breakdown for that course. Departments may allow for excused absences but are not required.
As an instructor, you must be aware of the attendance policies for each department in which you will be teaching classes, and enforce those policies per class.
Students are expected to refer to each course syllabus for the specific grading breakdown for that course. Therefore faculty is expected to make sure that all attendance expectations and departmental attendance policies are accurately represented on their course syllabus.
Attendance/ Daily Grades should be entered on Faculty Hub. Under the Classes Tab in the Faculty Hub faculty will see the courses they are currently teaching listed. By each course there is a series of buttons.
To add Attendance/Daily Grades, please click the yellow button that reads ‘Add Attendance/Daily Grade. A menu will pop-up with your class roster. By each student’s name a drop down will appear that will allow you to add each student’s attendance.
You may view the Attendance History of any student by clicking on the black button that reads ‘Attendance History.’
Please double check with your Department Chair to ensure that the attendance policy and procedure on your course syllabus is aligned with your department's attendance policy.

LA / MIAMI ATTENDANCE PROCEDURE
NYFA LA and Miami requires attendance to be logged for the first 3 weeks, at the midpoint, and during the final week of the semester to ensure that the school is aware of which students are attending classes overall and which are not.

NY ATTENDANCE PROCEDURE: DAILY GRADES
NYFA NY requires Daily Grades to be posted throughout the entire semester.

Attendance is monitored through the entering of a Daily Grade in the NYFA Faculty Hub for ALL programs.
EVERY instructor MUST enter a daily grade at the end of each class.
Attendance is directly linked to the participation grade which MUST be dictated on each course syllabus. The course participation grade cannot exceed 25% of the total course grade.
Daily Grades are set to the A – F grading scale.
Students who are not in class MUST be given a F for their Daily Grade.
It is at the instructor’s discretion which Daily Grade to issue a student, based on the student’s level of class participation.
If a student submits a Notification of Absence Form (with supporting documentation) to their Department Chair AND it is approved, the Chair or Instructor MUST email the Registrar’s Office immediately. The student will receive a “- ” for the dates which are excused. The “- ” cannot be counted against the student’s participation grade. Instructors should work with a student who has an excused absence, to provide any missed material or assignments. It is at the department's discretion whether or not to excuse absences. Please double check with your Department Chair to confirm if your department uses the Notification of Absence Form. This form should be submitted directly to the Department Chair.
At the end of the semester, to calculate a student’s participation grade, each instructor can view a student’s profile in the Faculty Hub. Under “Attendance History” a total number of missed classes will be indicated to help you calculate the student’s overall grade.
It is imperative that you enter a daily grade after each class. A student’s Financial Aid award, International status, and/or approval for GI BILL ® benefits depend on tracking each student’s rate of progression.

LA CAMPUS
Instructors must report to Chairs if a student has missed two consecutive classes, without notice, the instructor should notify the Chair and Academic Advising (advising.la@nyfa.edu). If Academic Advising assesses that the student has missed classes for multiple courses, Academic Advising will contact the Dean of Students, as the representative for LA’s Care Team, to assess whether a wellness check should occur.
LA’s Care Team may attempt to locate the student through various campus offices and/or outreach methods. If the student is not located, the Dean of Students will evaluate the situation to see if contacting the student’s emergency contact and/or local authorities is warranted.
NY CAMPUS
Faculty must report to Chairs and the Registrar Office if a student has missed the first and second class of the semester. Chairs must confirm with the Registrar’s office that the roster of the class is correct and that the student should be enrolled in the class.
After the first two weeks of classes, instructors must report to Chairs if a student has missed two classes consecutively. The Chair should then check the student’s attendance in Filemaker. If the student has missed three consecutive days of school, the Chair should do a wellness check on the student, either by email or by phone/Zoom.
If the student is SAS, the Chair should also reach out to the SAS office to notify them. Additionally, if the student resides in student housing, the Chair should reach out to housing to do a wellness check at the dorm.
If the student does not respond by the next day (either by email/phone/zoom or by attending class) the Chair should send a final warning email to the student telling them that the Dean of Students will be contacting their emergency contact and the International office (if applicable) should they not respond by “X” time and day. If the student continues not to respond, the Chair should contact the Dean of Students to follow up. The Dean of Students will evaluate the situation to see if contacting the authorities is warranted.
Department Chairs can reach out to the CARE Team for additional guidance.
MIAMI CAMPUS
If faculty notice a student has been absent from their course(s) multiple times and are afraid the student is missing, they should immediately notify the Department Chair. The Department Chair will work with the Registrar to assess whether a wellness check should occur. The Department Chair and/or Registrar may attempt to locate the student through various campus offices and/or outreach methods. If the student is not located, the Campus Dean will be notified and will evaluate the situation to see if contacting the student’s emergency contact and/or local authorities is warranted.
