What is Google Workspace for Education?

Google Workspace for Education is a suite of Google tools provided under a special Educational License. This suite of tools is FERPA compliant, and has privacy protections not included with commercial versions of Google.

This suite of tools will include your NEC Email and Calendar as well as a suite of other tools for collaboration and communication:

  • Chat/Meet = one-to-one and group text chat, and video calls

  • Drive = online file storage that can be shared

  • Docs/Sheets/Slides = individual or collaborative text documents, spreadsheets and slideshows, all of which can be edited by multiple participants at the same time

  • Forms = online forms that can be completed by a specific group, all of NEC or the public

  • Sites = easy to create websites that can be viewed by a specific group, all of NEC or the public

  • Groups = use as an email distribution list, or for moderated discussions

  • And more…

NEC users will be able to set their own permissions for their shared drives, files, forms, sites and groups.

What is my email address?

Your primary email address directly corresponds to your NEC username - username@necmusic.edu

Many users also have one or more alternate email addresses to better correspond with their displayed first and last name. This is generally: first.last@necmusic.edu. Exceptions are made for cases including: same name as an existing user, long names, and names with punctuation and diacritical marks.

To see your NEC email address:

  1. Log into your NEC email and look at your account information.

  2. Click on 'Personal Info' on the left

  3. Scroll down and look at the email addresses listed under 'Contact Info'

Why is my username and primary email address so generic?

During the past several decades, NEC has maintained thousands of personal email accounts for students, staff and faculty members. The generic naming standard assures that every user has an account name that will never be used by another person, hence protecting your content privacy forever. While your name-based alternate email address may be reused by another person after you leave NEC, your primary email address will never be re-assigned to another person.

How can I send email from my alternate email address?

You can set up your Google account to send as any of the assigned email addresses. If you wish to change your 'send as' address from the primary email address to an alternate address, please follow these steps:

  1. On your computer, open your NEC Gmail account.

  2. In the top right, click Settings (gear icon) and then 'See all settings'.

  3. Click the 'Accounts' tab.

  4. In the 'Send mail as' section, click 'Add another email address'.

  5. Enter your name and the address you want to send from.

  6. Click 'make default' to always send as this address.

Can I change my primary email address to better match my display name?

Your primary email address cannot be changed. However, your first and last name are always displayed in NEC directories, and as the key identifier in your Google profile. Your email recipients will see your first and last name displayed when they receive messages from you.

How will I access/use Google Workspace?

Google is a web-based tool so you will be able to access your account through a web browser (Chrome, Safari, Firefox, etc.) on any of your devices. Your Google account is accessible through single sign on from https://my.necmusic.edu.

Google also provides full-featured apps for Gmail, Calendar, and other tools that can be installed on your mobile devices.

Can I use tools like Apple Mail and Apple Calendar to access my Google Workspace account?

Newer versions of Mac OS and iOS will support Google Workspace accounts. To determine if your version is compatible, choose to add a new account and look at the account types. If Google is listed as an option, you are all set.

Older software versions are not compatible with the security standard Google requires (oauth). If you have questions about a specific email or calendar tool, please reach out and we can confirm it’s compatibility.

What about my data/privacy?

User personal information collected in the Core Services (listed above) is used only to provide the Core Services like Gmail, Docs, Sheets, and Slides. More information can be found in the Google Workspace for Education Privacy Notice

The Google Workspace for Education Terms of Service also calls out NEC’s ownership of our Intellectual Property.

Intellectual Property Rights. Except as expressly stated in this Agreement, this Agreement does not grant either party any rights, implied or otherwise, to the other's content or any of the other's intellectual property. As between the parties, Customer owns all Intellectual Property Rights in Customer Data, and Google owns all Intellectual Property Rights in the Services.

Protection of Customer Data. Google will only access or use Customer Data to provide the Services and TSS to Customer or as otherwise instructed by Customer. Without limiting the generality of the preceding sentence, Google will not process Customer Data for Advertising purposes or serve Advertising in the Services. Google has implemented and will maintain administrative, physical, and technical safeguards to protect Customer Data, as further described in the Data Processing Amendment.

How will students in countries that block Google access their Google Workspace?

NEC’s VPN (Virtual Private Network) will be made available to community members outside of the US if they are unable to access their Google Workspace directly.

I already have a Google account. Will my accounts merge?

Google provides an account switching option in its browser and mobile app tools. You will only see one account (email, calendar, drive, docs, etc.) at a time, and can switch accounts by selecting the one you want to view from this account switching menu.

Google makes it possible to share Google Calendars across accounts. For some managing multiple accounts, viewing all events/appointments on a single calendar may be preferable. This option must be selected, however. Google calendars will remain separate by default.
