Drive
Google Drive and Docs Basics (note, there is no limit the size of individual NEC Google Drives as mentioned in this guide)
Office365 File Migration
OneDrive Files = MyDrive
MyDrive is for files you own.
You can keep these files private, or share them with individuals or groups, but they will remain tied to your individual account.
To create a new folder in MyDrive (or in a MyDrive subfolder), click on MyDrive and then click New > Folder.
Transferring ownership of your Google Drive folder/files to someone else
Teams Files = Shared Drives
Shared Drives are for files you use with a team.
These files are owned by and shared with the group, and are not tied to any individual account. If a member of the team leaves, the files remain in the Shared Drive for everyone else to access.
To move files from your MyDrive to a Shared Drive, drag them from one folder to the other in your Google Drive window.
To create a new Shared Drive, click on Shared Drives and then click New > Folder.
To change the access on a Shared Drive, open the Drive and click on Manage Members in the top right corner of your window. You can add or remove individuals, but Shared Drives work well when you share them with a Google Group (or a team of individuals). Look at the Google Groups page to learn how to use an existing group or create a new one.
Sharing files with people outside of NEC
Please be aware of any FERPA or data security issues related to sharing files with collaborators outside of NEC.
"Live" Google Drive files and folders can only be shared online securely with other Google accounts.
You can choose to share a document or folder with a non-NEC google account, but if your partner does not have a google account, they will need to get one to collaborate on documents with you. They can use an existing email account to do this.
Files can always be downloaded and shared with outside partners through attachments or other file sharing options.
Google Documents (Docs, Sheets, and Slides)
Working with Microsoft Files in Google Drive
Double-click to open an Office file in Google Drive. Files will open with an office format label next to the document title. These files can be shared and edited within Google Drive, and are saved (automatically) in their original Office format.
You can convert an Office file to a Google Document by clicking File > Save as Google... (doc, sheet, slides)
You can download any file (Office or Google format) to an Office document to share as an email attachment if your collaborators do not use Google.
Accessing your Google Drive files from your computer desktop
Google provides a Drive for Desktop client if you would like to sync your files to your Mac or PC.
