Shared mailboxes in Outlook = Delegated email in Google

If you had access to a shared mailbox in Outlook:

If you worked with a shared mailbox in Outlook, access may already be set up for you in Google. Click on the Google menu in the top right of your Gmail window, and look for the shared mailbox name in the list of accounts. It will be labeled as "delegated".  You can click on this account to open the shared mailbox in a new browser tab. 

If one of your Outlook shared mailboxes is not listed, you can request that IT add this account

OR

If you have the login information for this shared account, you can log into the shared mailbox and set up the delegation yourself. 

If you need to set up a new shared mailbox in Google:

Delegation in Google is most useful when an individual wants to delegate their personal email to an assistant. 

If you need to create a shared account (a generic email for an office, for instance), it may work better to create a Google Group, which can both accept and send email.  See the Google Groups page for more information on how to use and manage Groups or give the Help Desk a call for assistance.

Email Forwarding

ITS strongly recommends not forwarding your NEC email to another non-NEC account. 

Why don't we recommend forwarding? 

Forwarding your mail to a personal or other account (Commercial Google, AOL, Hotmail, Yahoo, etc.) may expose protected NEC data, causing regulatory and security issues. In the case of communications between faculty and students, for instance, the content of the email may be covered by FERPA. While NEC's Google environment is FERPA compliant, commercial email providers are not. NEC's Google environment is also encrypted, providing another layer of security for your content and communications. Other systems may not be, creating a greater risk of data exposure for you and NEC.

Security in place on both NEC's email and other email providers may prevent the reliable delivery of your messages based on a system's security rules. Regretfully, while ITS can assist with some issues related to incoming NEC email, we may be unable to resolve issues with outgoing messages.

NEC email and documents are most secure and compliant when they stay inside NEC systems.

While forwarding has not been disabled at NEC, we ask that you consider the risks of forwarding before setting it up in your mail settings.


Contacts

Your email contacts are stored in a separate Google Contacts app. Click on the Google Apps menu (9 dots) in the top right corner of your Gmail window and select Contacts to open this app.
