MOSMAN PREP P&F - Communicator

Class Communicators play a vital role in helping families stay informed and navigate the week ahead.

In this role you will provide key updates each week on school and sports schedules and any special events throughout the term. You will also share occasional school notices or P&F reminders.

You will use the class page to provide your weekly update - located on the school app (ParentOrbit). You can also utilise your class WhatsApp group for more urgent updates and reminders.

You will be responsible for administering your class WhatsApp group - please note the Prep WhatsApp Guidelines below which should be shared with your year group at the beginning of each term.

The Communicator, along with their class parent group, should reach out to new families to welcome and support them as they join our Prep community.

We also ask that volunteers only undertake the role for a single year group.

CLASS PAGE

Communications are predominately through the class page, which is pre-formatted for ease of use. The class page must be updated each weekend with the class schedule and any reminders for the week ahead.

The class page located on the school app (ParentOrbit) in the form of a week-at-a-glance and upcoming reminders. You'll receive an overview and more details at your class parent handover.

The class WhatsApp chat can be used to inform your class that the page has been updated (please post a link to the class page on your chat), and also for any last minute reminders.

The class page is updated using information from the following sources:

School Calendar, Weekly Messenger, School Notices on ParentOrbit, Term Newsletter and Summer & Winter Sports Information (for Y3-Y6). These are available to everyone and can be found on the website and in the school app.
Emails from the teachers about class specific information that will need to be shared with the year group, such as excursions or calls for volunteers.
Notifications from the P&F about upcoming P&F events via the Class Parents WhatsApp group (that you will join at the beginning of the school year).

Access to Class Page

The P&F will arrange access to your class page- please keep an eye out for an email from Matt Blackband – Prep IT Teacher - inviting you to access your page (via Google Sites).

If you have any issues using the site please reach out to the P&F, or for technical difficulties contact Mr Blackband.

CLASS WHATSAPP GROUP

At the beginning of Early Entry, the Class Communicator will create a class WhatsApp group for parents and carers. They will remain the group administrator for the duration of the year.

At the end of each year, the Class Communicator will hand over the group administrator role to the incoming Class Communicator.

The Class Communicator is responsible for the following.

Maintaining the WhatsApp group’s membership - including removing parents who leave the school and adding new parents as they join. Before adding any new parent, please contact them first to confirm that they are comfortable being included in the group. Anne-Maree Pastega will provide the contact details for new families.
Monitoring activity within the group to ensure that all interactions comply with the WhatsApp Chat Guidelines (outlined below). If any issues arise or clarification is needed, the P&F communicator is available to provide support. Please don’t hesitate to reach out.

We also ask that you set up a Class Parents Whatsapp group to make it easier to work together throughout year.

Note - the P&F Communicator will be an 'admin member' on each year group WhatsApp chat.

WHATSAPP CHAT GUIDELINES

Purpose - WhatsApp groups are intended as a convenient way to distribute important School information and for parents to communicate easily with each other regarding School matters.

Access – WhatsApp groups are intended to be used and accessible to year group parents, carers and guardians only.

Posts – appropriate usage to foster communication

Posts should be relevant to the WhatsApp group and should not include private or confidential messages, express personal opinions, or contain content unrelated to the WhatsApp group. If your message is not relevant to most members, please send it as a private message.
Inappropriate posts include voicing grievances about the School, posting promotions, using inappropriate language, personal attacks or insulting messages or bullying of any member of the WhatsApp group.
For any concerns about your WhatsApp group, please raise these directly with the P&F as a first step, and/or the School for serious matters.

Owner - The WhatsApp group is managed by the communications class parent as administrator. The administrator is not responsible for members’ comments but reserves the right to remove any inappropriate posts, restrict admission, remove members without any notification.

Conditions - By accepting a request to join the WhatsApp group, participants agree to these rules, and the sharing of your phone number with members of the WhatsApp group. You always have the option to leave the WhatsApp group. Opinions shared by members reflect their individual views and do not represent the members of the WhatsApp group as a whole.

Naming conventions – do not include "Mosman Prep" or MP in the title of your WhatsApp group – recommend using your Year Group as the title. Also, the Mosman Prep logo should not be used as the group icon image.

CLASS CONTACT LIST

The class contact list shared with the Class Communicator by the school cannot be circulated to your year group for privacy purposes.

The school only allows the Parent Directory (via the Parent Lounge) to be shared.

The Directory is voluntary and each family needs to OPT-IN to have their contact details shared.
