This facility enables you to upload documents or create them directly within the system. Documents are accessible to Admin and Super Admin users, subject to their assigned location and department permissions.

Open Documents & Policies, double-click the target folder, click New → Document → Upload, and complete the required fields (Title, Folder, Category, etc.). Choose settings such as Available for everyone, Requires Acceptance, or Requires fillable responses, set an expiration if needed, then Save.
Supported file types include PDF, DOCX, PPTX, XLSX, TXT, ZIP, PNG, JPG, and JPEG.
Select the document row and click the Assign icon to open the Assign Document form. Use the Location / Department / Position filters to select employees, set assignment and due/expiration dates, then click Assign. You can also assign from the Assignment Tracker (Past Due / On Time / Accepted tabs). To reassign, use the Reassign option when prompted.
Set the document lifecycle to Content complete, open the document viewer, and use the Signature tools to add Single signers, Signing groups, or Assignment signers. Drag signature items into place, choose Request signatures at once or Request signatures in order, then Save. Publishing a Content-complete document with Single signatures will trigger the primary signature request workflow.
Go to Workflow matrices → New matrix, name the matrix, add levels, and add reviewers (internal users or external guest reviewers). Set escalation targets and reviewer actions (Advance, Send back, Resolve). Save as Draft while editing and Publish when ready. You can deprecate or undeprecate matrices as needed; published workflows are available for approvals.
Enable Requires Acceptance in a document’s settings to collect attestations: assigned users must click Accept to acknowledge the policy. When assigned, the document status becomes Acceptance requested and the workflow state Waiting for acceptance; once all users accept, the status becomes Accepted / Finished. Use the assignment tracker and logs to monitor acceptance activity.
