For learners who do not have a suitable device to do their MAES studies outside the classroom, we have a limited number of Chromebooks available to loan. Tutors are able to complete the Learner Chromebook Loan Request form via the Pastoral section on EBS.
It is important to note that Chromebooks are a precious and finite resource at MAES and every year Chromebooks are loaned to learners and then lost to the service due to them not being returned by the learner, this means that there are fewer Chromebooks available to loan the following year. As the teacher it is your responsibility to ensure that your learner returns their device before their course ends.
When the Chromebook for your learner is ready for collection, you will receive an automated email from our EBS system identifying where and when you will be able to collect it and then give it to the learner. Please do so promptly or the device will be recalled and allocated to a different learner. Please note if for some reason you do not receive an email (we had an isolated report that this didn't happen) check your unread messages in the Pastoral section on EBS.
When you hand the Chromebook over to your learner, it is up to you as their tutor to ensure that they understand how to login and use the device. You must also make sure that the learner completes the Learner Chromebook Loan Agreement form.
Prior to the end of the Chromebook loan period, you must ensure that all your learners who have borrowed Chromebooks return these promptly.
The only exception to the above is for learners who are studying entirely online - these learners should be directed to collect and return their Chromebook from reception staff at the relevant centre. It is still, however, the tutor's responsibility to ensure that the learner returns their Chromebook before the end of the Chromebook loan period.
How to request for a learner Chromebook
For Chromebook loans, watch from 03:20.
Make sure to send this Chromebook Loan Agreement Form to your learner and that they complete it as soon as they get their Chromebook.
You can also check out the step-by-step guide on how to complete the form here.
Note: The Learner Chromebook Loan Request form via the Pastoral section of EBS may be turned off whenever we have no Chromebooks available for loan. Please email the MAES Helpdesk if you have learners who urgently need them.
We have finite number of Chromebooks available to loan to learners so if you find that one is not available for your learner an alternative scheme called Community Computers aims to support digitally disadvantaged Manchester residents to purchase heavily subsidised laptops or computers:
Community Computers is a not for profit initiative operated by registered charity Renewal North West (1145056)
They provide fully refurbished and licensed, essential devices back into the community at low cost and work closely with local organisations to support individuals/families in using their devices.
If you have a learner who needs a device and this scheme is a suitable option then please click on the link to the referral form below to start this process and see if they are eligible.
In addition to the above Manchester City Council have a scheme that helps residents get online by providing free SIM and dongle so residents can access the internet for 6-12 months.
The codes to the Chromebook cabinets and trolleys are with the admin staff at each site. Staff may only access the cabinets in the rooms they are teaching in.
If a cabinet/trolley will not open, please check that the cabinet is plugged in. If the cabinet will not open after being allowed to charge for at least ten minutes, please contact the MAES IT Helpdesk.
At the start of the lesson
Count the Chromebooks in the cabinet.
If a Chromebook won't connect to the wi-fi, please restart the device.
If multiple devices will not connect to the wi-fi in each room, please contact the MAES Helpdesk. Please let us know if the problem is confined to one room or to multiple rooms at the site.
At the end of the lesson
Check the cabinets are plugged in.
Check that all Chromebooks have been returned.
Check each chromebook has a stylus.
If you are returning Chromebooks to cabinets in multiple classrooms, check the device is returned to the correct cabinet - a sticker on the base of the computer tells you which cabinet it should be in.
If a Chromebook does not work, is damaged or has a missing stylus, please contact the MAES helpdesk giving the asset number from the sticker on the keyboard and the centre/room together with details of the problem.
How to manually update a Chromebook
Sometimes Chromebooks don't automatically run updates so a manual update is required. This problem often occurs with the Chromebooks in classrooms when they have not been used for an extended period and it is important to fix this. Manually updating a Chromebook is a quick and simple process which you can help your learners to do for you, click on the button below for instructions
