Parent Working Group

The main role of the PWG is to build strong working relationships among parents, teachers and schools, in support of students. This can include recruiting and coordinating volunteers, providing special recognition in awards ceremonies or through other activities, organizing parent education events, planning teacher appreciation activities and much more..

Room Parents

A room parent facilitates communication between parents and the teacher, school administration, and Parent Working Group (PWG), and supports the teacher in needs that may arise.


Board

Chairperson

  • The role as a leader is to guide, encourage, and facilitate

  • Meet with the school Principal and Head of School when necessary

  • Assist in recruiting and retaining members

  • Design a calendar for the year of PWG activities, and orders PWG materials needed for the year

  • Prepare written agendas for all meetings

  • Sends an announcement of the PWG meeting (date and time)

  • Direct all PWG meetings and discussion

Secretary

The secretary is responsible for keeping an accurate record of the proceedings of association meetings. These records are the permanent history of the PWG. Promptness and accuracy are key to this job, and a PWG’s bylaws or standing rules may contain specific requirements about when minutes must go out.

At the meeting, the Secretary:

  • Takes attendance

  • Presents the draft of the minutes of the previous meeting

  • Takes minutes

After the meeting, the Secretary:

  • Ensures the approved minutes are included in the permanent record of the association. The secretary should have these items on hand at all meetings:

    • Minutes of the previous meeting and pertinent attached reports

    • List of unfinished business to be discussed

    • Current membership list

    • List of all board members and all committee chairs

    • Materials for note/minute taking

  • Sends out the agenda and any pertinent documents necessary prior to the next meeting, including the draft of the minutes of the previous meeting
