If your Alerting Profile(s) have been identified with suspicion of only having office numbers listed in the phone tree, verify that this is true and update your phone numbers. Since Monitor runs 24/7/365 by default, your phone tree must consist of phone numbers that are accessible outside of school hours. This needs to be updated as soon as possible to ensure our Moderation Team is able to place emergency calls regardless of school hours. Please have a Safeguarding contact follow these steps to update your alerting profiles:
1. Select "Edit" on an individual tenant/school in the Monitor Organizations page.
2. Open the "Safeguarding Contacts" and/or "Limited Safeguarding Contacts" tab.
3. Add/Edit the contact(s) eligible for emergency calls to update the primary phone number to a mobile phone number, or add an additional number to the mobile phone section.
Please note that if Monitor is running 24/7/365, you must have valid phone numbers that can be reached outside of school hours. If you wish to discuss additional options for managing Monitor after hours, reach out to your Customer Success Manager, , to schedule a call.
To note limited availability for emergency calls, use the contact notes to list what hours the contact is eligible for phone calls. Note that at least one phone tree contact must be available at any given time while Monitor is active. If contact notes show a gap in coverage during an emergency, the Moderator will ignore the notes and call contacts outside of their call availability hours.
4. Open the "Alerting Profiles" tab.
5. Select each Alerting Profile and review the listed phone tree contacts
If the phone tree does not have emergency call eligible contact listed in the phone tree in call order, click "Edit Alerting Profile" and add the contacts to the phone tree in call order.
Default Alerting Profiles will require at least one Safeguarding contact in the phone tree. Do NOT add Limited Safeguarding Contacts to Default Alerting Profiles as they will experience errors in email notifications and access to events in the Monitor dashboard..
Additional Alerting profiles can have Limited Safeguarding and/or Safeguarding Contacts in the phone tree.
If the phone tree has all phone tree has all call eligible contacts in call order, close the alerting profile and move to the next to be reviewed.
6. Repeat steps 2-7 for each tenant/school in your Organizations page to ensure every Alerting Profile has appropriate phone trees.
