The job of an Administrative Secretary or Administrative Assistant will be a variety of complex senior level secretarial, administrative and technical duties to assure efficient office operations and timely production of correspondence and reports requiring the knowledge of district and divisional policies and procedures.
This job class functions in a highly visible and independent manner and includes extensive contact with District staff members and the general public requiring a high degree of tact, discretion, and judgment. This job class requires a high level of secretarial and organizational skills as well as in-depth knowledge of District policies, procedures, standards, and requirements.
Must perform a wide variety of clerical duties, act as a liaison to the public and school personnel for the District Office. As a receptionist for the District Office you will provide information and assistance to District employees, and the general public through personal contact or by telephone. Receive visitors and screen telephone calls and inquiries from the public, staff, and parents; exercise independent judgment in providing information.
Perform a variety of complex clerical/secretarial support functions in support of assigned staff and District/School office operations. Employees in this class may monitor and direct the work of other office staff and student assistants in a lead capacity. This job class performs highly responsible secretarial/administrative and operational support functions and requires the use of initiative, organizational skills, problem solving skills and independent judgment in the processing of routine administrative details not requiring the immediate attention of assigned administrator. Positions in this job class may serve as administrative support to a Vice Principal or District level administrator. You will provide information and assistance regarding assigned office/department operations, activities, policies, and procedures to students, faculty, administrators, parents, contractors, and others; answers telephones and may act as office receptionist.
Under the direction of the Principal, serve as primary secretary to the Principal at a comprehensive high school, providing relief of administrative and clerical detail; manage office activities and daily schedules, annually evaluate clerical in the high school office and coordinate the flow of communications for the Principal; assure smooth and efficient office operations. Coordinate the flow of communications between administrators, faculty, staff, students, parents, and the community; respond to inquiries and provide information to teachers, students and the public. Receive, open, sort, screen and distribute incoming mail; independently compose replies not requiring personal response of the Principal. Plan, prioritize, assign, supervise, and review the work of staff responsible for providing clerical and secretarial services for an assigned secondary school. Maintain staff time records; prepare staff attendance reports and submit to payroll; maintain personnel, discipline and various other records and files; establish and maintain filing systems.
Manage office activities and daily schedules, and coordinate the flow of communications for the Principal; assure smooth and efficient office operations. Employees in this classification receive limited supervision within a broad framework of policies and procedures. Coordinate the flow of communications between administrators, faculty, staff, students, parents, and the community; respond to inquiries and provide information to teachers, students and the public. Receive, open, sort, screen and distribute incoming mail. Secure substitutes for absent personnel; assure substitutes are prepared for instruction; assist substitutes in resolving issues; distribute keys and maintain appropriate records. Maintain staff time records; prepare staff attendance reports, and submit to payroll.
In this position you will be the first contact most people will have with the school. Because of the nature of this job, multitasking throughout the day is a must. In addition to operating a variety of office machines accurately, this person must be computer literate in order to perform a variety of specialized clerical and secretarial work according to prescribed procedures and/or instructions within broadly defined policies. This person must work independently with minimal supervision and willingly to do other related school site work is required. Receive visitors and screen telephone calls and inquiries from the public, staff, and parents; exercise independent judgment in providing information. Register and enroll students and maintain student demographic information.
