Fiscal
Welcome to the Fiscal Course!
Through this course, participants will become familiar with fiscal topics related to their role as a SASA. These fiscal roles and tasks include:
Primary Administrative Support
Apprises Principal of funding lapse dates/balances regularly
Office Management
Ensures deposits, purchase orders, and payments are made on a timely basis
Oversees the ordering of office supplies, forms, and equipment
Recordkeeping and Reports
Assists administration in the preparation of the school budget by providing data and other information
Maintains controls of appropriated and non-appropriated funds, avoiding deficit spending and lapsing funds
Ensures reports are prepared on a timely basis and meet deadlines (budget, payroll, personnel, and facilities)
Responsible for ensuring that school inventory is accurate and current
In smaller schools, the SASA may be responsible for all fiscal processes; in larger schools, there may be an account clerk or an office assistant whose jobs include fiscal processes.
To take this course, it is recommended participants have completed all activities in Role of the SASA and Purchasing and Contracts.
IMPORTANT: Due to the change from legacy FMS to Aukahi FMS (AFMS) in July 2021 and the modernization of other fiscal systems please note the following:
Some of the original modules or portions of the modules related to the old system are obsolete. These modules now link to new/current guidance, and/or indicate outdated portions.
The remaining policy-based modules or portions of the module are still relevant, but may refer to the old system's terminology. A crosswalk/glossary of FMS to AFMS terminology changes is available here.
Most "FMS" forms have been changed to "AFMS" forms. All new/current AFMS guidance, forms, charts, and other resources are available on the new AFMS website at afms.k12.hi.us.
The quiz in PDE3 and folder labels may no longer align.
Over the next few weeks (April – May 2022), makeshift updates will be performed on several outdated courses as a first step, with the development of more cohesive placeholder guidance as the second step, and a re-visioned next generation of SASA Resources as the third step.

Due to recent system upgrades, the assessment at the end of each module is temporarily unavailable until further notice. Assessments that may have been in the process of being completed are also not available for which we apologize for the inconvenience. However, access to all course content and videos remain available for use. Procurement is the only course at this time with a working assessment to show completion.
