We expect that all student groups exemplify respect and inclusion in all group events and activities. As you represent your group through its events and activities, please remember that you are also representing Hastings.

Contact our Student Activities Coordinator or visit the Campus Connect Desk

Our Student Activities Coordinator has set aside office and programming essentials to help student groups host meetings, plan events and other activities. These are free to borrow, but you must check the items out and return them after you use them. If you do not return the items, you will be charged to replace them. The student group supply cabinet is located behind the Campus Connect Desk.

Fundraising

Faculty, staff and students are required to have approval from the Hastings College Foundation, prior to soliciting funds for any group or individual cause or program directly or indirectly connected to the college. This includes, but is not limited to, selling merchandise, soliciting advertising, asking for donations (cash or non-cash donations) and applying for grants. To request approval, please contact Mike Karloff, 402.461.7473 or mkarloff@hastings.edu, Chelsea Lemar, 917-618-4232 or chelsea.lemar@hastings.edu,  or Claire Bostelman, 402-461-7786 or claire.bostelman@hastings.edu.

Business Office Account

If you plan to handle money with your group, you must open a custodial account with the Hastings College Business Office located in Hurley-McDonald Hall. The Business Office will place your money in an account that you may access through the Office of Student Engagement. Using the Business Office simplifies bookkeeping for groups since they always keep your account information up to date. For more information, contact or stop by the Business Office. 

NOTE: If a student group becomes inactive, funds from that group’s bank account will transfer to the control of the Student Activities Coordinator through the Office of Student Engagement.

Student Association

If your group needs to request funds, please fill out the Budget Request form below and email it to Student Association (sassociation@hastings.edu). Save the form as "YOURORGANIZATIONSNAME_Request". Please note the form is a template so save it as a copy and then edit. All budget requests are due at 7:30 pm one week before the next Senate meeting. If you send in a request after the deadline, you will have to present at the next meeting. You must follow the rules for funding that are voted on each year by the Student Association.

Membership Dues

The constitution for each student group should identify the officer with the responsibility of maintaining financial records, usually the treasurer or secretary. That respective officer should develop a clear system that provides accurate and detailed records of all deposits and expenditures. A filing system should also be developed to retain copies of all financial paperwork. Student groups are allowed to collect membership dues. These should be managed by the respective officer with the help of your advisor and placed into your custodial account.

IMPORTANT NOTE

All student groups must follow the registration process every year.

Student groups failing to complete the renewal process by the deadline will be placed on inactive status. Inactive student groups may not continue to utilize facilities or property on campus, may not seek or add members, host/sponsor on or off campus, or enjoy social privileges.
