We have a broken, out of warranty Chromebook that needs to be sent to the warehouse for disposal. Should I remove it from SAS? Should I enter it into the OTO system?
SAS no longer needs to be updated.
If the Chromebook has not been scanned into OTO, then no action is needed. Place a School Dude request to have the equipment picked up. On August 5th, 2026, these Chromebooks will be flagged as not part of OTO, will be disabled and moved from your inventory.
If the Chromebook has been scanned into OTO, then it must be scanned out of OTO before being sent to the warehouse. (See Chromebook procedures section)

My location has non-student Chromebooks in Kiosk mode in locations such as the front office, classrooms for Hallpass or Media Center lookup stations. Do these need to be entered into OTO?
All devices in your building MUST be entered into OTO before August 5th to prevent them from being disabled.

A summer school student did not return their Chromebook before August 5th and it was not scanned into OTO. What will happen?
This Chromebook will be disabled on August 5th. The student can bring the Chromebook to the school, where it can then be scanned into OTO and re-enabled.
How do I remove a Chromebook from my location's OTO inventory?
On August 5th 2026, any device not scanned into OTO will be assumed to be absent from your location, disabled, and removed from your inventory. Instructions for removal from OTO can be found under the Chromebook Procedures section of this site.
How do I accept a new Chromebook or a Chromebook from the warehouse into my location's OTO inventory?

A student has returned a Chromebook to my location that belongs to another location. What should I do?
If a student returns a Chromebook to your location that belongs to another location, do not accept the return. OTO will identify Chromebooks that were not originally checked out by your location. (Excluding new Chromebooks or devices delivered by the Warehouse)
The student must return this Chromebook to the location where it was originally issued. The student must return to you only the Chromebook assigned to them by your location in OTO.
I have scanned all of our locations' Chromebooks into OTO, when can I start checking out to students?
Chromebooks can be checked out to students after the Chromebooks and chargers have been scanned into OTO and you have received OTO training.
Do we need to scan/inventory out-of-warranty Chromebooks that are going to stop working soon anyway?
Any device not scanned into OTO will no longer function after August 5, 2026. If the devices are going to be used, they must be scanned into OTO but please know they will count towards your 105 percent total.
How many Chromebooks should I have in my building, and which ones count towards this total?
The total number of Chromebooks at your location should equal 105 percent of your total student population. One Chromebook for each student, plus 5 percent to be used for spares.
All Chromebooks at your location, including those used in testing carts, classroom sets, spares, and student Chromebooks, all count towards this total unless purchased with school funds or Title I funds. Kiosk machines used for specialty purposes such as front office, Backpack stations, or media center checkout stations can be excluded from this total. Any Chromebook purchased with Title 1 funds will be excluded from the total. Chromebooks purchased with local funds may be excluded from this total, but proof of purchase may be required to flag them and exclude them from the total.
We currently have significantly more Chromebooks at our location than the 105% allocation formula allows. When should we begin sending excess Chromebooks to the warehouse?
For Summer 2026, if a location’s total Chromebook inventory exceeds the 105% cap, the preferred approach is to avoid scanning the excess devices into OTO and send them to the warehouse for disposal at this time. However, it is understood that accurately determining final counts may be difficult due to factors such as unreturned Chromebooks, students attending summer school, and fluctuating enrollment numbers. As a result, reducing inventory to meet the 105% target will be an ongoing process that may continue into the 2026–2027 school year.
Our school will be receiving new Chromebooks this summer as part of the Chromebook refresh process. How will these be entered into the OTO system?
The new Chromebooks will be delivered to your location but will not be active until you scan them into the OTO system.
Should chargers be scanned individually by serial number or treated as an accessory to the Chromebook?
Yes, scanned individually by serial number using pre-printed labels. See instructions under the Procedures section.
Our location has ECF Chromebooks. Some will be used at our site, while others are excess devices that we would normally send back to the warehouse. How should these devices be handled?
Any ECF Chromebook that will continue to be used at your location must be scanned into the OTO system to avoid being disabled.
At this time, excess or damaged ECF Chromebooks should not be returned to the warehouse. However, they must still be scanned into the OTO system so they can be properly tracked. After scanning, set these excess or damaged devices aside and hold them until further instructions are provided.
ETS will tag all ECF Chromebooks in the OTO system so they can be identified for future disposal. Because ECF Chromebooks are included on your location’s fixed asset report, additional guidance regarding fixed asset procedures will also be provided.

I have Chromebooks that are lost, stolen, or not turned in. How do I enter those into OTO?
Never enter Chromebooks into OTO that are not in your physical possession.
We have a Chromebook that, when scanned into OTO, gave us an error message that said "serial number not assigned to an asset," but it scanned the correct number on the device.
Check to ensure that there are no additional spaces after the serial number.
One to One has identified a small number of Chromebooks that did not import into the system correctly and must be corrected individually. ETS is currently working with One to One Support to resolve these issues. If you encounter a Chromebook with this error, wait one to two days and try scanning the device again. If the Chromebook still will not scan into the OTO system, make note of the device and set it aside. ETS will address these devices at a later time.
(Resolved) Certain older model CBs, when scanned, display a long string that is actually the SerialNumber+ModelNumber, which may cause this error. The first 8 characters are what OTO expects 99.9% of the time. The other 1% of the time, it actually wants the long number and fails because it is too short. At this time, we believe that this is isolated to the first P204s models that the District has received.
Our location has just received new Chromebooks purchased with Title One funds and they will not scan into OTO
Chromebooks purchased without the White Glove service from Cell Tech are not enterprise-enrolled in Google. Please place a HEAT ticket with ETS, and a technician will complete the Google enterprise enrollment process for these Chromebooks. After the devices are enterprise-enrolled in Google, it will take approximately 24 hours before they are eligible for enrollment into OTO.
What is ECF?
ECF is a federal program that provides funds to the District for technology purchases. Because federal dollars are involved, Chromebooks purchased with ECF funds must be tracked on each district location's fixed asset report. Before sending any Chromebooks to the warehouse, please check with the fixed asset person at your location to ensure that any ECF chromebook at your location is properly accounted for in fixed assets.
