Cancellations come to GWD Headquarters from the bar, and GWD Headquarters will then pass on that information to you, the host. Many of our clients opt to cancel around the holidays, for private events or concerts, major sporting events, or purely for seasonal reasons. Unless you receive notification that you have the night off, you are expected to be at your quiz as scheduled. GWD runs quiz even on most major holidays.
A Host Showed, No Quiz* happens when:
A host shows up to quiz and there aren't any players,
OR
A host shows up to host and the bar tells them that quiz is canceled.
1. Be patient, and let the bar know you will hang around for the next half hour or so; try to register teams/players to play if the bar isn't empty. If it's 5-10 minutes past the start time and nobody wants to play, talk to the Manager on Duty (MOD) and ask them if they’d like you to wait longer or if they want to cancel. (Be tactful, the bar is paying for the event either way. )
In the event that people do play and you have to start late, you are still only committed to a two-hour event and can omit rounds accordingly to finish on time. If no-one plays and the MOD calls it- anytime from 5-30 minutes after quiz start time- simply fill out a Host Showed, No Quiz Report on OYQ where you'd ordinarily post your event report.
2. The bar probably never let GWD know they had to cancel. It happens. Work with the bar and ask them if you can hang around until 15 minutes past the expected start time to let your regular players know about the cancellation. Simply explain to your players that the bar had another event booked and that the quiz is canceled this week but will be back next week.
DO NOT bad-mouth the venue or say something like, "Yeah, they canceled us, nice of them to let us know."
You took the time to show up and notify the players, so you will be paid $30 for a Host Showed, No Quiz event.
Always contact qmsupport@geekswhodrink.com immediately, explaining the circumstances and giving the name of the MOD. Then submit a Host Showed, No Quiz report on OYQ.
**Please note - If an event is canceled by the venue 2 or more hours ahead of time, it is considered a regular cancellation and the QM is not paid for the event.**
If you heard from your venue that they are canceling for the night and NOT from the support team or your manager, please email cancellations@geekswhodrink.com right away with:
-Your Name
-Name of the Venue
-City, State of the Venue
-Date they want to cancel
-Reason for the cancellation
Please also tell the person at the venue who referred the cancellation to you that they need to email cancellations@geekswhodrink.com. We'd rather get two notifications of a cancellation than none, and we want the venues in the habit of sending their cancellations to us directly rather than through you. Let us do the boring work while you show up and host quiz.
Please pass along any notification of a future cancellation, even if you're subbing for someone else. If you're hearing it from the bar first, it is because we did not know. We don't want that to happen!
There are three days every year when we automatically cancel all events:
July 4
Thanksgiving Day
December 25
Your managers will also contact all venues with a regularly scheduled event to check on cancellations for other major holidays. Plan on hosting unless you hear differently from your manager if your event falls on the following nights:
Thanksgiving Eve
December 24
December 31
January 1

Not right away. Be patient, and let the bar know you will hang around for the next half hour or so. Try to register teams to play, if the bar isn't empty. See the Host Showed, No Quiz policy above.
Log onto OYQ and select Create a JBL Log on BlogWatch.
Select Weekly Event and Host Showed, No Quiz.
Input the Venue Name, the date, the time of cancellation, the name of the Manager at the venue who canceled, the time of the cancellation, and a reason for the cancellation (e.g. another event booked, no players showed up, pipe burst, etc.).
Press Save. You should receive a message that it is awaiting approval. The approval will be done the next day by your manager. Once approved, you will be paid $30.
Here's an example:
No! If you have started a game, then you hosted an event, even if it didn't run the full 2 hours. Submit an event report as normal, but also email qmsupport@geekswhodrink.com to let us know what happened. You'll still be paid your full rate.
The short answer: proceed as normal! No cancellations are official until it's confirmed by GWD HQ. Continue your event as normal, and email qmsupport@geekswhodrink.com or your manager directly to let them know what's up. You should also tell the venue that they need to communicate that with their client manager (that's the same person as your manager) and HQ will take it from there.
If they tell you to go home because they don't want the event to happen, fill out a HSNQ report (see above) and email qmsupport@geekswhodrink.com to tell us what happened. If they ask you questions about whether or not they'll still have to pay for this event, or any other questions that should be directed to their client manager, tell them the truth - "I'm just here to host the event and I don't know the answers to those questions. Please email the client manager* and they'll help you out!"
