This is it! After weeks of planning, consolidating observations and insights from your outreach events, and discussion with the various parties, and preparation/rehearsals, you are ready to implement your CCA VIA project!
Although it may be a single event, or a series of events, there are many things pertaining to the VIA project that need to be in place on the actual implementation day. Hence, please prepare a checklist of items. An example is shown below.
1. Confirm your activities (including their sequence) with your (i) VIA committee members (ii) partner organization, (iii) CCA teacher and (iv) CCA members at least 1-2 weeks (or earlier).
2. Check with your VIA committee members, CCA teacher, or partner organisation, etc that logistical requirements are obtained and would be ready on the implementation date.
3. Confirm all (i) online plateforms/ bookings (e.g. transportation) or/and permits (e.g. venue) and (ii) parental consent forms (if target group is children) have been approved by the relevant authorities or obtained from the stakeholders.
4. Confirm that SMM/ safety precautions and risk protections are in place (e.g. enough adult supervisors, first aid kits, contact list, etc). These should have been discussed and arranged with your partner, and with your CCA teacher1 during the earlier phase (at least 1 month prior to implementation date).
1Your CCA teacher will need to prepare a form called Risk Assessment and Management Strategies (RAMS) one month prior to the implementation date. Hence, he/she will need to discuss this important aspect with you. Your CCA teacher will also be present on the implementation day of your VIA project.Once every item from your checklist is completed and checked, you may want to let your CCA teacher take a final look in case there is any oversights.
Here are some reminders on the actual day.
Call the contact person from the partner organisation to confirm the time of arrival of your CCA members (and of the advanced group, if any).
Be polite (e.g. greet the various stakeholders) and be respectful (even if things to not work out the way it is supposed to be).
After the activities, remind your CCA members to help ensure that the venue is cleared or cleaned up.
