Assign Duty page is used by a higher level employee for assigning duty to employees under his hierarchy. Assign duty page shall only be available for users having employees assigned to him. User can:
Assign duty on working day
Assign duty on holiday
In Assign Duty on working day, if the employee didn't attend the duty i.e. if the assignee did not punch, his/her absence will be treated as LOP(Loss Of Pay).
Assign Duty
Assign duty page contains:
Employee list: list of employees under the user to whom user can assign duty
Duty assigned list: Lists duty assignment details of employees. Duty assigned list contains duty assignment done for the employees by their hierarchies. But the list will be respective to the hierarchical flow i.e user can only view the duty assignment details of employees under his hierarchy.
Assigned duty details displayed includes date of assignment, Assignee's Photo, Name, Employee code, Designation, Date(s) to which duty assigned, remarks of assigner hierarchy and assigner hierarchy's name & photo. User can view the duty assigned on working day and holiday separately by switching the tabs 'Assign Duty' and 'Assign Duty on Holiday'
ASSIGN DUTY ON WORKING DAY
Assign duty on working day is used to assign duty to an employee on a working day; it does not include off days or any other holidays. User is not allowed to assign duty to employee for the dates on which the employee has applied for leave.
The Level 1 /Level 2 employee assign duty for employees under them. If the duty is assigned by the Level 2 hierarchy, it will be sent for approval.
Assign Duty Application Page
For assigning duty on working day, click on the Assign Duty tab in the work-area. Then select or search an employee under user's hierarchy from the employee list on the left side of work area. After selecting an employee, user shall find the following details in the page:
Duty Status: List of dates for which duty has been assigned earlier in the month by another hierarchy will be listed under the label "Duty Status".
Leave Applied: List of dates for which the employee has applied for leave or employee has been assigned with leave for the month will be displayed under the label "Leave Applied"
Duty Days: Working dates for the specific month on which duty can be assigned(excluding duty assigned & leave applied dates) shall be listed under the label "Duty Days"
Holiday List: Holidays for the specific month shall be listed under the label "Holiday List"
User have to select the dates on which duty is to be assigned from the "Duty Days" list. Selected dates will be added to nearby text-area. For removing selection, select the dates from the second text-area. To continue with duty assignment, enter the remarks/reason of duty assignment and click on Assign Button to finish the process.
On successful duty assignment:
Duty assignment entry will be added to Assign Duty tab of the assigner and hierarchies
Email and notification will be sent to assignee and HR of the Institution
Note: The assignee may not be able to apply leave on the duty assigned date; and no hierarchy can assign leave for the employee on the duty assigned date.
Assign duty on holiday is used to assign duty to an employee on off days and holidays. Off day of employees may vary according to their Department/Location/Designation. Even though duty is assigned on holiday, absence of employee on the duty assigned day will be treated as LOP (Loss Of Pay).
On attending the duty assigned on holiday(punches on the duty date), assignee gets a compo off for duty attended on holiday. Compo off earned is only valid for the month it was earned; compo off is never carried forward to future months.
Assign Duty on Holiday
For assigning duty on holiday, click on the Assign Duty on Holiday tab in the work-area. Then select or search an employee under user's hierarchy from the employee list on the left side of work area. After selecting an employee, user shall find the following details in the page:
Duty Status: List of dates for which duty has been assigned earlier in the month by another hierarchy will be listed under the label "Duty Status".
