Allen School Affiliated Student Organizations can use the 2025-2026 Student Organizations Request Spreadsheet (please email Linda for the link) to make purchase requests. This is the primary way most organizations utilize their $1500.
Please review the funding disclaimers below so you are aware of the policies around funding before requesting a purchase.
Please make sure to explain why you need each item you are requesting for purchase and how it relates to your Allen School Affiliated Student Organization mission/event
These requests must be made at least 10 business days in advance of your event/activity.
When submitting requests, clearly indicate the date or date range of when the items are needed.
Places to order from:
Amazon
Amazon is the easiest and preferred way for us to purchase items for Allen School Affiliated Student Organizations
Double check the delivery date to ensure that the item you are requesting will arrive in a reasonable time. Note: it can take a few extra days for packages arrive to CSE2 once they have arrived on campus.
We cannot order from Amazon Fresh.
Instacart
Instacart is another option for Allen School Affiliated Student Organizations to use if the item(s) is unavailable on Amazon. Please order from the same retailer/store.
Other retailer/store
You are more than welcome to request for us to make a purchase from another retailer/store if it is unavailable on Amazon. However, we strongly encourage you to figure out the delivery date for the item(s) before you request a purchase to ensure that your item will arrive in on time.
If an organization already has an established worktag (UW budget) that is managed by a UW faculty or staff member, the organization can email Chloe Dolese Mandeville to request to have the $1500 funds transferred. Note: The Allen School will not create worktags/manage budgets for Allen School Affiliated Student Organizations. This option is only available if the organization already has a worktag established with a UW faculty or staff member.
If the $1500 is transferred, the UW faculty and staff member who manages the worktag is entirely responsible for managing those funds.
The Allen School will not:
create UW worktags (budgets) or bank accounts for Registered Student Organizations.
manage funding on behalf of any group. Student Organizations need to manage this independently and follow processes in accordance with requirements from the HUB, and the Allen School will not be responsible for Student Organization funds.
provide additional funding beyond the $1500 (with the exception of the required Allen School events/activities stated above).
roll over unused funds to next academic year. Funding is approved for 2025-2026 academic year only and does not roll over into the next academic year.
use funding to pay for UW Classroom Reservations.
use funding to purchase perishable foods (e.g. Costco cookie orders) or catering unless the event is a required Allen School event and/or the event is hosted in one of our Allen School Premier Event Spaces.
use funding to pay for subscriptions, gift cards/vouchers, hazardous/dangerous items.
process reimbursement requests (with some exceptions - student leaders should not use their own funds to purchase anything/request to be reimbursed unless a student explicitly requested/informed to do so by Allen School).
use funding to purchase items/food for fundraising events unless RSO can provide a signed fundraising form from the SAO.
use funding for travel expenses.
All orders will be ready for pick-up at the Gates Front Desk, unless arranged otherwise with Linda.
There is a tracking sheet titled “Student Org Pick-Up Sheet”. When picking up orders, students must:
Find their organization and order description on the sheet
Print name, date, and initial on the corresponding row(s)
