Allen School Affiliated Student Organizations are required to maintain proper conduct that adheres to Allen School standards and policies. Any RSO that affiliates with the Allen School is accountable to the following expectations:
Registration Periods:
Maintain annual UW Registered Student Organization (RSO) status as recognized by the University of Washington, ensuring to follow all necessary deadlines and general expectations.
Complete the annual Allen School Student Organization Application for Affiliation by June 1st, including all requested materials, for the following academic year. No applications will be accepted.
Categorical Requirements:
Meet all of the qualifying metrics for your group to be recognized as an Allen School Affiliated Student Organization
Student Organization Behavior and Culture:
Maintain communication with Allen School Leadership, and continue to uphold the mission and values of both the UW and Allen School.
Exhibit positive, inclusive, equitable, and professional behavior across all in-person and virtual platforms of operation (e.g. events, social media networks, email communications).
Utilize positive, inclusive, equitable, and professional language across all in-person and virtual platforms of operation (e.g. graphics, advertisement, digital communications).
Programming:
Work in partnership with peer Allen School Affiliated Student Organizations and the Allen School, focusing on equitable outcomes for membership and engagement. No singular group may monopolize the resources provided by the Allen School.
Ensure events and activities are in alignment with the expectations set by the Allen School Operations and Events Teams, which include room usage, resource management, accessibility, advertising, and logistical needs.
Include proper accessibility accommodation notices for events. Our accessibility accommodation policy requires a 3 week notice for all events, in order to allow time for community members to request proper accommodations.
Spaces & Equipment:
Treat all physical and virtual spaces represented by the Allen School with respect, and respect all students/staff/faculty within the community.
Ensure all common resources (Shared Student Organization Equipment, Allen School Events materials) are managed with respect and care, and that Student Organizations may be liable for damages caused by misuse.
Any usage of Allen School materials/resources will be handled safely and properly, that does not put any individual in dangerous or hazardous situations.
Leadership Trainings:
Ensure representation/attendance for your group at all required Student Organization Leadership Trainings, Events, and Meetings as outlined by the Allen School. These dates and times will be provided in advance of the academic year. Failure to attend these required events will result in not receiving Allen School resource for a certain time period (typically one month). The required events include:
Student Organizations Kick-off (before Fall Quarter begins)
Monthly All-Hands Meetings (first Monday of the month from 4PM - 5:30PM)
Communicate consistently with Allen School Leadership; respond in a timely manner (within 24 hours) for urgent items, and keep open communication channels with relevant Allen School partners and stakeholders.
Be punctual in attendance, and communicate absences with as advance of notice as you can give.
Stakeholder Expectations:
Follow all protocols issued by school stakeholders included on this policy page (Events Team, External Relations, Undergraduate Student Services, etc.).
Be flexible to the growth of the Allen School, and work in partnership with stakeholders when new policies are issued.
What happens when the Code of Conduct is not being met? The Allen School and our stakeholders recognize that mistakes or unexpected situations occur and will always operate as community members invested in student growth. We believe in a reconciliation-forward response to situations of nonobservance. Because of this, Allen School Affiliated Student Organizations and/or officers that are not meeting the Allen School Student Organization Code of Conduct and/or Allen School policies are subject to the following steps:
Reminder of Expectations (Student Organization does not meet expectations once):
Verbal and/or written reminder from Chloe Dolese Mandeville
Informal Warning (Student Organization repeatedly does not meet expectations)
Required meeting with Chloe Dolese Mandeville to discuss code of conduct, the issues observed, and a path moving forward.
Formal Warning (Student Organization does not meet expectations after receiving Informal Warning):
Required meeting with Chloe Dolese Mandeville, the RSO adviser, and any relevant stakeholders from Allen School Leadership to discuss the nature of action/operation in direct nonobservance with the Code of Conduct or Allen School policies and expectations moving forward.
Your Student Organization adviser will work with you to set-up a plan for addressing nonobservance and will set a follow-up check-in to ensure that policies are being met. This plan will be shared with Chloe Dolese Mandeville and Allen School leadership. This plan should include an identified time period to exhibit behavior in accordance with the Allen School Affiliated Student Organization Code of Conduct and/or Allen School policies, and your adviser will set a time to follow-up.
Dismissal Steps (Student Organization has not exhibited behavioral changes):
If dismissal is deemed as warranted by Allen School Leadership, the Allen School Affiliated Student Organization found in nonobservance of our Code of Conduct will no longer be an Allen School Affiliated Student Organization for the rest of the academic year. The Allen School Affiliated Student Organization may apply to become an Allen School Affiliated Student Organization for the following academic year but there is no guarantee of approval. Note: Direct violation of UW policies & laws may result in the process being escalated quicker / result in dismissal before the first two steps are taken.
