Basics - Labels
Information
As explained in "basics" Gmail is using a database to store all information regarding Google products. Because everything is already known by the system and already read in we only have to Label this. Labels are technical the same as Folders in other mail applications, if you add the mail account to example Outlook, labels will be shown as folders.
Label list from Gmail
Folder list from Outlook
The difference is the way of indexing an looking at the folders and messages inside the systems. But labels can also be used for other things instead of labeling. They can be used as a trigger or actionpoint in your message, you can setup different actions (see filters for more information).
It's possible to label messages in different ways; you can drag them to the label, drag the label to the message or select the label from the different menus.
Labels quick way to see what to do with Labels
As the name suggest labels can be used as labels, in your inbox or in other labels to sort messages and see what's happening with it and make your inbox more dynamic and work quicker and easier because you know what's happening.
For example; I'm in a project with different kinds of actions that have to be taken.
In Project001, I want to have In Progress so I know something is happening with it; Follow Up as a action for me to follow up this message and Review to look at it and answer it. The "normal" way to do this is to put this message in different folders, right it down on a piece of paper and hope you wouldn't forget about it.
It can be different; first you have to create the labels in side of Gmail; this is a easy task to do you can do it on the side menu but it's also possible to go to settings in the top, and select all settings.
Go to the Label tab.
Scroll down till you see the button "Create new label" with this button you can easily create new labels inside Gmail. For the example I created In Progress; Follow UP and Review and at them to a message.
After creating the labels I gave them the colour orange, when you do this it will automatically change the colour of the nested labels. Now it's possible to add the labels to a message and use them as a tool to keep track on messages and action to be taken.
⚠️ Note: Labels are not the same as Folders; if you remove a Label from a message this doesn't mean the message will be deleted but just be unlabeled of that label. If you lost a message you can find it in the search bar or look in All Mail to see all your emails.
