Reports can be made available in the Community Portal for families to see via the DocMan tab. If configured correctly reports can automatically be uploaded to the DocMan tab for each student automatically.
Before archiving student reports:
Open Configuration File Maintenance from the System tab in eSIS:
In the Find box type studentreportsprint:
Find the results that list Archive in the Key2 column:
Of these find the two with the Description and StoreInDocMan listed under Key3
The Value field for the Description should be set to Reports archived for {FileSemester}/{File Year}
The Value field for the StoreInDocMan should be set to True
Other items can be set if needed.
Go to Lookup Table Maintenance in System
Use the Search box to find ludocumentclassification:
Find Reports in the Code column
Make sure the SynergyMeaning column for this entry reads StudentReports
Make sure the CommPortalVisibleforStudentParentFlag is ticked.
The student reports are coverted to pdf files and are saved in the ArchivePath directory. The ArchivePath setting is used to set the archive path for PDF Files for archived student reports. The recommended format is \\Server\StudentReportsArchive. Note that files being archived cannot have the characters \ / : * ? " < > | in their names. These characters are replaced with underscores (_) during the archiving process.
Reports are archived to ensure a copy is saved to the DocMan section of each student's record in eSIS and also saved to the school network when complete. The archive path describes where the reports will be stored on the school network. Once archived, reports can be printed, emailed or displayed in the Community Portal.
There are 3 stages for archiving reports:
Part A: Setting the Archive path
Part B: Running a calculation
Part C: Archiving Reports
Before archiving it is important to ensure the archive path is set correctly for your school. This tells the system where reports will be saved during the archiving process.
Click on the Students module and open Student Awards Import (1).
In the bottom left corner, click on Load From File (2).
In the window that appears, click the Browse (3) button.
If the Security Warning screen appears, click Permit Use (4).
Click on Network
If the Security Warning screen appears, click Permit all access.
Navigate to the location where reports are to be archived. For example, to find the Desktop, you should click on Network > Client/ > C$ > Users > Select your name from the list (or the name of the computer) > Desktop. Create a New Folder for the archived reports if it does not already exist by selecting New Folder and name it, for example, Reports.
Click on the white space to the right of the address at the top of the window and copy the address. It will be something like C:\Users\1234567\Desktop\Reports with the number being your UPN or username.
Close the browse window and the Student Awards Import window.
Click on the System module and open Configuration File Maintenance.
In the Find box, search for ‘Archive' and from the options that appear, highlight the option that has Path listed as Key 3.
In the bottom left, select the Value and right-click and paste the path copied at Step 8.
Click Save.
Close Configuration File Maintenance in the top right of the window.
With all windows closed, click on File and select Reload Configuration Settings.
Click on the Assess module and open Student Result Calculations/Checks.
Click OK (the system should default to calculating All Curriculum Frameworks).
Confirm that you want the calculation to run by clicking on Yes.
Click OK once the process is completed.
Click on the Assess tab and select Print Student Reports.
The Set Student Reports Search Criteria window is displayed. From this window, select the Year Level or Form from the drop-down boxes or select the Individual student/s you wish to archive reports for.
Click OK.
The Sort Order window will open. Click OK.
Check that the first student in the year level/class is selected and change the radio button from Preview in the window on the right to Archive.
If this is the final archive run (not a preview), ensure that the box next to Store archive in Database is ticked.
This will ensure a copy of the student report is stored in each student’s DocMan in eSIS.
In the window on the left, click Process All.
Untick the option to Store individual class reports in the archive path.
The Student Reports Archive Detail window will open. Check that the archive pathway is correct and click OK.
A new window will open to show the progress of archiving. When complete, click OK.
Click Change at the top of the window on the left to select the next class. Repeat steps 2-11 for each set of reports to be archived.
