Mail System Conversion Instructions

( Users will be suspended from any mail related system operations during the conversion. Sorry for the inconvenience. )


The current mail system has been in use for more than 11 years. Based on the following advantages, the Computer and Network Center is expected to perform mail system conversion on Jun 25, 2020.

  • Strengthen mail system security.

  • Improve friendliness of Webmail interface.

  • Speed up mail delivery.

  • Simplify multi-mail domains for staffs.

  • Strengthen the identification of the mail domain.

  • Provide native APP.

The mail system conversion will be classified according to the user's usage habits, and help move the mail of the old mail system to the new system.

Webmail User:

Mails are placed on the mail server, and login to Webmail through the browser.

* This transfer after shutdown will help move all mails from the old mail system to the new system.

* Notes for first login after transfer:

1. Please connect to the new mail system by http://mail.ncku.edu.tw.

2. Please enter your account / password to login.

(Example) Account: example@mail.ncku.edu.tw => Please enter example / old password

Account: z10913001@email.ncku.edu.tw => Please enter z10913001 / old password

Account: em61000@email.ncku.edu.tw => Please enter em61000 / old password

3. Please check whether the data and settings in the new mail system Webmail are the same as the old system after first login. If there any questions, please dial extension 61016.

4. (If necessary) Login to the original personal mail account ( @mail.ncku.edu.tw ) through the http://oldmail.ncku.edu.tw to view the previous mails and settings.

Login to the original official mail account ( @email.ncku.edu.tw ) through the http://oldemail.ncku.edu.tw to view the previous mails and settings.

IMAP Recipient:

Users use mail client to manage mails such as Outlook, but the actual mails are placed on the mail server.

* This transfer after shutdown will help move all mails from the old mail system to the new system.

* Notes for first opening Outlook after transfer:

1. The new mail system is compatible with the old mail account settings, and users do not need to modify any settings.

2. It need to refresh the mailing list and directory when Outlook first connection to the new mail system. If there are many mails in your old mail system or many self-built directories, it will take a while, please be patient.

3. Please check whether the mails and data in Outlook are the same as before after Outlook's first mail finishing is complete. If there any questions, please dial extension 61016.

4. (If necessary) Login to the original personal mail account ( @mail.ncku.edu.tw ) through the http://oldmail.ncku.edu.tw to view the previous mails and settings.

Login to the original official mail account ( @email.ncku.edu.tw ) through the http://oldemail.ncku.edu.tw to view the previous mails and settings.

POP Recipient:

Users use mail client to manage mails such as Outlook, but the actual mails will be stored on device’s HD or some backups will be stored on the mail server.

* This transfer after shutdown "will not" help move the mails from the old mail system to the new system since all mails are stored on the hard drive of the user's personal device.

* Notes for first opening Outlook after transfer:

1. The new mail system is compatible with the old mail account settings, and users do not need to modify any settings.

2. It can receive mail normally when Outlook first connection to the new mail system. If there any questions, please dial extension 61016.

* The old system may receive mails during the conversion, so it is recommended that login to the original personal mail account ( @mail.ncku.edu.tw ) by http://oldmail.ncku.edu.tw and login to the original official mail account ( @email.ncku.edu.tw ) using http://oldemail.ncku.edu.tw, check if there are missed mails in Outlook.

IMAP

POP

Those who forward the mail to another personal mail account:

The users use the forwarding setting in Webmail to forward the mail received from school mail account to other mail accounts, and the actual mails will be resend to other mailboxes or some backups will be stored on the mail server.

* This transfer after shutdown "will not" help move the mails from the old mail system to the new system since all mails have been resend to other personal mail account.

* It is recommended to check whether the forwarding settings in the new mail system have been set correctly after transfer:

1. Please connect to the new mail system by http://mail.ncku.edu.tw.

2. Please enter your account / password to login.

(Example) Account: example@mail.ncku.edu.tw => Please enter example / old password

Account: z10913001@email.ncku.edu.tw => Please enter z10913001 / old password

Account: em61000@email.ncku.edu.tw => Please enter em61000 / old password

3. Please go through "Preferences \ Mail Options \ " check if the settings in the new mail system "Auto-Forward" are the same as the old system after first login. If there any questions, please dial extension 61016.

4. (If necessary) Login to the original personal mail account ( @mail.ncku.edu.tw ) through the http://oldmail.ncku.edu.tw to view the previous mails and settings.

Login to the original official mail account ( @email.ncku.edu.tw ) through the http://oldemail.ncku.edu.tw to view the previous mails and settings.

Check email from other accounts

Share a single email account in multiple ways recipient:

    • User will check a mail account at the same time if they have multiple devices.

    • There will be multiple people using the same mail account for emXXXXX unit account or other accounts.

When there are multiple different ways of using the same account, this transfer after shutdown will help move all the mails from the old mail system to new mail system as long as "Webmail or IMAP" is used.

If "Webmail or IMAP" is not used, this transfer after shutdown "will not" help move all mails from the old mail system to new mail system.

** (Important) Recipients using POPs should note that if all mails from the old mail system are moved to the new mail system, all the mails which stored in the mail server will be received again when first opening Outlook after transfer.

    • It takes a long time to re-receiving if there are many mails.

    • The mail in Outlook will be duplicated after re-receiving.

If there any questions, please dial extension 61016.

Mail account with no recent usage history:

This transfer after shutdown "will not" help to move all the mails from the old mail system to the new mail system if user has not used the school mail account for a long time.

If you need help with transferring, please dial extension 61016.

Summary: ( 109/6/29 After the mail system conversion )

The new mail account name display is unified and simplified to "@NCKU.edu.tw".

Example:

"@NCKU.edu.tw" backward-compatible "@mail.ncku.edu.tw, @email.ncku.edu.tw".

The contacts can still be used normally, and can be changed without rush.

It is recommended to change personal mail signature file, email address on the unit's website to the "@NCKU.edu.tw".

    • On-campus PC transmit port: 143

    • NB, Off-campus PC transmit port: 993, click "Use the following type of encrypted connection" and select the SSL/TLS.

  • Outgoing server: ncku.edu.tw

    • On-campus PC transmit port: 25

    • NB, Off-campus PC transmit port: 587, click "Use the following type of encrypted connection" and select the SSL/TLS.

POP

  • Incoming server: ncku.edu.tw

    • On-campus PC transmit port: 110

    • NB, Off-campus PC transmit port: 995, click "This server requires an encrypted connection(SSL/TLS)".

  • Outgoing server: ncku.edu.tw

    • On-campus PC transmit port: 25

    • NB, Off-campus PC transmit port: 587, click "Use the following type of encrypted connection" and select the SSL/TLS.
