Inventory (Moffitt 4th)
Google Forms/Digital (PREFERED)
ALMA Inventory Google Form | IN OFFICE Inventory Google Form (also at the bottom of this section)
Instructions:
From a desktop (or iPad from 4-hour laptop cart) open the ALMA Inventory Google Form.
Fill in 1st page with your details and time/date.
Open Alma and log in with the student SPA account.
In the persistent search bar options select “All Titles” and “Keywords.”
Type in what’s on the “Title search” column on the inventory sheet for the item you are searching for.
Some of the items on the form will have a link to that item in Alma, but not all.
Once the item appears, select the “Physical” tab to reveal which items we currently have available at the Moffitt location (MOFF).
On the 2nd page of the google form, record the available number of each item in Alma. Make sure we are writing down # 'Available' and not 'No. of Items.'
On the 3rd page mark down any notes you may have and hit 'submit.'
From an iPad (or desktop) open the IN OFFICE Inventory Google Form
Fill in 1st page with your details and time/date.
On the 2nd page of the google form, record the available number of each item currently present at the desk.
On the 3rd page mark down any notes, like any discrepancies you may have and hit 'submit.'
Paper (Backup)
Link to paper form (to print) printouts usually available on a clipboard by the CalTime terminal in 401 Moffitt
Instructions:
Open Alma and log in with the student SPA account
In the persistent search bar options select “All Titles” and “Keywords”
Type in what’s on the “Title search” column on the inventory sheet for the item you are searching for.
Once the item appears, select the “Physical” tab to reveal which items we currently have available at the Moffitt location (MOFF)
Record the available number of each item in the “Alma” column on the inventory sheet.
In this example, we would record that we should have 1 DVD writer available to loan
Once you record the number on Alma, physically count the corresponding inventory on the fourth floor and record it on the inventory sheet.
If the items match up, Perfect! If there are more items on Alma than we have in person AND/OR there are more items in person than are registered on Alma , make a note for a supervisor to check on that.
Hand form to a supervisor and mention any notes/discrepancies. If there are no supervisors present, leave form, with any relevant notes, on one of their desks.
