Criterion VII: Student Records, Management, Access and Security
The institution must demonstrate that it will maintain and retain records.
Participating Teachers will have access to all documents that show their Induction Program progress in alignment with the California Standards for the Teaching Profession (CTSP 2024). These records will include, but are not limited to, Participating Teacher and Mentor Induction Agreement forms, weekly collaborative logs, observation data, examples of curriculum and assessments, student learning data, growth goals, and the Individual Learning Plan (ILP). All of the PT’s records will be stored digitally. PT’s will set up a shared folder with their mentor, which will be stored on the AUHSD Google Drive. In accordance with due dates, Mentors will assist their PT’s in publishing documentation that demonstrates professional growth in relation to their Individual Learning Plan (ILP) on Canvas (AUHSD’s Learning Management System).
The process for maintaining confidential documents will be in alignment with how AUHSD currently maintains confidential employee records. The District office is a locked facility, and all offices are inaccessible to the public. All of the PT’s electronic files and transcripts will be stored on a secured District server and access is limited to the Deputy Superintendent of Administrative Services, the Executive Assistant of Administrative Services, the Associate Superintendent of Educational Services and the Director of New Teacher Support. Candidates may access these electronic induction documentation by contacting either the Director of New Teacher Support or the Executive Assistant of Administrative Services. PTs records will be maintained indefinitely.
AUHSD’s Teacher Induction Program will use the PT’s ILP documentation on Canvas to assess their progress towards mastery of the CSTP, which will culminate in the PT’s recommendation to the CTC for a Clear Credential. Throughout the Induction Program, the PT’s ILP documentation is used to verify participation and professional growth, and, if necessary, to serve as a transportable record should a candidate transfer to another district. After the first year of Induction, candidates will be awarded a digital certificate of successful participation, and at the conclusion of the second year of the program, candidates will be awarded a digital certificate of Induction completion. Early Completion Option (ECO) candidates will be awarded a certificate of Induction completion after one successful year in the program.
