Course State Code Override
The Course State Code Override field under Roster Batch Edit provides the ability to have students with different instructional service and delivery models to be listed under one roster for the teacher. Front office staff can enter the state course number for the instructional services needed for each student and select the delivery model associated with the courses.
The selection of the specific delivery model may be required based on how that service is delivered by adding an additional teacher or other personnel, as indicated in the Student Class Delivery Model document. If required, the additional support personnel will need to be added under the Staff History tab. Please refer to the Student Class Delivery Model Document under the Infinite Campus > IC Scheduling Resources for each of the programs listed on our website.
Always refer to the school's assigned Gifted, Special Education, EIP, and ESOL leads for scheduling and delivery model requirements for each instructional program offered.
NOTE: The course number at the top of the course/section screen will appear on the student's report card and transcript.
Entering New Course State Code Override Using Roster Batch Edit
Locate the base course number under Index > Course > Section.
Select the Roster Batch Edit tab
Locate the Student's Name
Locate the Course State Code Override field and enter the correct instructional program course number for the approved services. Verify that the course number is in the following format (XX.XXXXXXX). Incorrect course numbers will create an error for state reporting.
Select the Inclusion Code, if applicable.
Select the Delivery Model option according to the instructional program provided.
Click Save.
NOTE: Please see the program lead at your school for the inclusion code and delivery model associated with the course number entered for each student.
8. If the delivery model requires, an Additional Teacher or other personnel, Select the Staff History tab.
9. Select New Teacher.
10. Under Staff History Detail, Select the Name of the teacher from the drop-down.
11. Select District Assignment from the drop-down.
12. Select Teacher Role for Delivery Model Selected for the course override.
13. Click Save.
NOTE: Be sure to verify that the appropriate teacher and role are identified for the course. Multiple staff can be added as secondary if the roster contains students served under different models. An incorrect teacher assignment will create errors for state reporting.
End Date the Course State Code Override in Roster Batch Edit
Once a student's instructional program services have changed or ended, use the following steps to end date the current course override to maintain the data for state reporting and add the new scheduled course/section for the student.
NOTE: Do not remove the course number in the Course State Code Override field when end dating the student's roster.
1. Locate the Student and select the Schedule tab.
2. Select Walk-in Scheduler.
3. Select the Course/Section under the term where the course state code override field should be ended.
4. Enter the End Date of the program services.
5. Click Save.
6. Click OK to note that a Gap will exist in the student's schedule.
7. Select the No Scheduled Course within the student's schedule.
8. Locate and select the Course/Section to add to the student's schedule.
9. Enter the Effective Date of the new course/section.
10. Click Save.
The course/section with the course override should now appear with the dropped date and the new course/section should be noted with the start date. If another course override is needed, that new course state code override number to can now be entered under the new course with the appropriate delivery model and staffing.
FTE Course Override Verification Report
PATH: Ad Hoc Reporting > Data Export
In order to verify students reporting courses entered under the Course State Override field, run the following Ad Hoc Report.
1. Select the (3) FTE Course Override Field Verification under your designated group folder (i.e. Elementary School Secretary, Student Information Coordinator, Registrar, etc...)
2. Select the Export Format needed.
3. Verify Data Source is Live.
4. Click Export.
5. As new students are tagged, run an updated report for your records.
