If a child is off sick that day, you can either email us, enquirieshermitageacademy@argyll-bute.gov.uk, message us through the Xpressions app or call us on 01436 672145 to report an absence.
‘Pass out’ – a pass out is when a child needs to leave school at a certain time for an appointment or alternative arrangement. Please provide your child with a note to bring into school, they can request a pass out during Registration where they will be directed to the Staff Room for their pass out. This is to minimise the disruption to learning and teaching caused by calling pupils out of class to collect pass outs from the School Office. (The Staff Room is located on the first floor next to the Conference Room).
What do I do if my child is ill whilst in school?
The procedure is that they would attend the Care & Welfare room where they will be assessed by one of our First Aid trained staff. If they are of the opinion that they should be sent home and/or seek further medical advice they will make contact with the contacts we have for that young person.
If it is required for the young person to be sent home a slip will be issued by the member of staff in the care & welfare room which will then be handed to the school office as they are collected from the front door. This is essential to maintain accurate attendance registers and the safety of that young person.
PINs
If your child forgets their pin or wants to change their pin, they can request this from the Canteen Staff.
NEC Young Scot Cards
Young Scot forms can be collected from School Office, please ask your child to hand this back to the Office for processing. Young Scot Cards could take up to 2 weeks to be delivered, we will message you once we have the card.
Young Scot Cards can be used for contactless payment in the canteen, the canteen staff can activate the card for your child.
If your child has lost or broken their card, they can request a new one from the School Office.
Online Payments
You will be issued with your child’s 12 digit online number when they start at Hermitage Academy. If you need the 12 digit number for online payments please contact Mrs Hamill, Catering Manager through School Office.
Please allow up to 24 hours for the balance to show on the account.

“Look ups”
A “look up” is when your child forgets their packed lunch or lunch money for the day and the Kitchen provide their snack and lunch for them that day. Your child should ask the Canteen Staff if they require a “look up”. This will need to be owed to the Kitchen the next day. Any problems, please ask for Mrs Hamill, Catering Manager through the School Office.
Special Dietary Requirements
Please contact the School Office, we will refer this to your child’s Guidance teacher and issue a “Special Diet” form to be completed by Parents and returned to the School Office, we will then pass this to the Catering Manager.

Please make sure we have the correct email address for all Parents/Carers.
In emergencies, we will send an SMS (text) message to Parents. Absence alerts are also sent via SMS.

Small valuables such as jewellery, phones, wallets etc. should be handed in to the School Office.
We will ask pupils to retrace their steps, go back to their classes and check with teachers.
Your child should then fill out a ‘Lost Property’ form at the School Office then hand to a Classroom Assistant in the lunch hall, they will then open the Lost Property cupboard for your child to have a look. If the lost property is not in the cupboard, your child should return the form to the School Office so we can contact them if the item appears.
