New Faculty Payroll Paperwork

The following information is for domestic faculty. If you are a new international faculty member, please review these brief documents that introduce the U.S. payroll practice of withholding for taxes and benefits and refer to this list for visa and payroll information.

Once your Data Sheet is submitted and processed:

  1. You will receive an N number, your unique New School identifier, and User ID to access university systems.

  2. You will receive an email from Human Resources with attached forms and instructions on whom to contact to schedule an on-boarding appointment and how to proceed with filling out and submitting tax forms to get set up on payroll (please note that foreign nationals follow a different process from domestic employees and should go here for further information).

  3. You will receive information on setting up your New School email address with your User ID. (See note below.)

  4. Your User ID and password are the universal way of logging onto various New School systems, the most important of which is my.newschool, a secure portal for accessing your course and student information; Canvas, the New School learning management system; the library, IT services. Please take some time to familiarize yourself with all that is available.

Contact Human Resources to schedule an on-boarding appointment and complete all your payroll paperwork. You can prepare the materials in advance by completing all of the documents under New Hires. This includes:

    • W-4 Employee's Withholding Allowance Certificate

    • IT-2104 Employee's Withholding Allowance Certificate for New York State, NYC and Yonkers OR

    • IT-2104.1 Employee's Withholding Allowance Certificate of Non-Residence

    • Direct Deposit Authorization Form, including a voided check or bank authorization letter

    • Affirmative Action Form

    • I-9 Employment Eligibility Verification Form, including a valid form of identification from the list of acceptable documents on page 9

Please note that payroll processing is an in-person process. You cannot complete your payroll paperwork until you are in New York City.

Once your payroll paperwork is processed:

  1. Get an ID card. You will need this to access New School buildings and Bobst Library.

  2. Attend a benefits orientation. You will receive an email invitation to sign up for a date at your convenience within three weeks of your start date.

  3. Complete two required online tutorials: FERPA and discrimination training.
