As an ALPHA or BETA startup ticket holder, you will have access to a dedicated startup lounge. This is an exclusive lounge for startups, where you can network, host meetings and take a break! 

Please note: This area is a lounge – there are no private meeting spaces available.

While we plan ahead for June, we are liaising with our host city of Rio to deliver the safest event for all attendees. No matter what, we will be strictly adhering to the government’s guidelines.

Security checks will be mandatory when entering venues. These checks will be in adherence with Rio's security and health protocols at the time. 

Food and beverages will be available across the event. The catering, and external food and beverage suppliers, will be strictly adhering to government health and safety guidelines throughout the event. 

There will be cloakrooms and bag drops available for all attendees at Web Summit Rio.

In 2020, we launched our sustainability strategy. The Sustainable Development Goals (SDGs) are at the core of the United Nations’ 2030 Agenda for Sustainable Development, and we are proud to commit to these SDGs as guiding principles for our own sustainability initiatives.

This is called the right to erasure and means that you can ask for your personal information to be deleted. When you delete your account, we delete your data in accordance with our data retention policies. Otherwise, if you wish to make a request to delete your data, then please contact us at dataprotection@websummit.com

Sometimes it is not possible to delete your data – for instance, if we have a valid legal basis for keeping it – but if that’s the case we will let you know.

Please be aware that we may require some identification to check that you are who you say you are.

You can update your company profile here. Your company profile will be used for online purposes, such as the app and featured startups page and this can be updated at any time. For your exhibition board, once you confirm the details for printing and it has been sent to print, no further changes can be made. Please contact the Startup Success team if you have any questions relating to your exhibition board. 

No, it's not possible to request an exhibition day. Your exhibition details will be circulated to you by Thursday, May 28. You will be assigned either Tuesday June 9, Wednesday June 10 or Thursday June 11.

You can only film at Web Summit with prior permission, provided that you follow all our camera guidelines here. Stage content and sensitive areas (such as registration or private lounges) can't be filmed, as well as other parts of the venue that you can find on the document above. 

If you'd like to film at the event, please email startupsuccess.rio@websummit.com with following;

• An itinerary of when and where you're planning to film

• The make and model of the camera and any associated equipment

• Confirm that the person/people filming have valid tickets to enter the event (these can be general or startup tickets)

If you're bringing a physical product, you may be required to apply for permission. Software demos on laptops/screens do not require any special requests. 

Physical products must fit your booth footprint, avoid being a "noise/space pollutant," and be approved by Startup Success before your profile deadline. 

Marketing materials (banners, posters etc), food, and oversized items are strictly prohibited.

You are limited to one handheld box of reusable swag (e.g., branded t-shirts, pens) and must clear all waste at the end of your exhibition day.

Custom branding (stickers, banners, own boards), furniture, and loud/flashing distractions are strictly forbidden to ensure a professional, uniform environment. As a paperless and plastic-free event, distributing flyers or single-use plastics is prohibited and may result in fines or revoked access.

A ‘meetup’ is a small gathering where attendees network based on common interests, community or industry. 

Meetups give attendees the chance to meet new people and make new connections in informal settings during Web Summit Rio – day and night. 

We’ll make sure you’re invited to some that we think you’ll enjoy. Meetups are 20 to 55-minute sessions taking place in multiple ‘meetup areas’ around the event venue.

You can receive a full refund if you request to cancel your ticket within 14 days of booking your ticket. We have a strict no-refund policy after this date.

Our main priority is making Web Summit Rio a positive experience for every attendee. Read our anti-harassment policy here. 

If travelling from outside the EU, please be sure to check if you need a visa to enter Brazil. If you require a visa, we recommend applying as soon as you have secured your Web Summit Rio ticket. Keep in mind that this process will take some time. 

We do not liaise with the government of any country to provide visas. However, we are happy to provide a letter confirming your attendance at Web Summit Rio.

Now. We recommend applying as soon as your ticket is secured. Processing times for Brazilian visas can vary significantly (sometimes taking several weeks or months) depending on your country of residence. Do not leave this until the last minute.

In accordance with our terms and conditions, tickets are non-refundable outside of the initial 14-day cooling-off period. Web Summit is not responsible for the outcome of visa applications. We advise checking eligibility before purchasing your ticket.

Startup activations are activities/opportunities that startups attending Web Summit Rio can apply to take part in.

The link to apply to PITCH, Startup Showcase, 40 Words and Mentor Hours can be found in the welcome email, sent to you by the Startup Success team. Startup Masterclasses don't require any sign up in advance, however are offered on a first-come-first-served basis. 

You can choose whether or not to take part in the activations. These activities help startups connect with other attendees at the event and it provides them with lots of opportunities. 

Each activation has its own rules for joining in.

As part of our startup programme, we offer all ALPHA and BETA startups the chance to speak at our startup stages by applying to participate in PITCH or Startup Showcase. If you haven't already, you can apply to these though the application form included in your welcome email. If you have any trouble locating this, please reach out to the Startup Success team.
