Arrival of participants

There are several options to reach the location near Veliko Tarnovo. The groups can arrive at Sofia, Bulgaria (SOF airport) or Varna, Bulgaria (VAR) airport. There is a possibility to arrive at Bucharest, Romania (OTP) and being transfered.

If landing in Sofia, arrival of participants should be before 15h on 19th August 2021 in order to organise a group transfer to the training venue. The same procedure of transportation of participants will be done on 29th August 2021 after project ends.

We will negotiate picking up each of the groups either from the airport, or from the city center.

PLEASE, DO NOT BUY TICKETS BEFORE THEM BEING CONFIRMED WITH THE HOSTING ORGANISATION!

Financial rules

Costs will be covered accordingly to the Erasmus+ programme:

• Meals /three times a day/

• Accommodation /in double rooms/

• 100% costs during the activities

• The international travel costs are covered according to the ERASMUS+ distance bands and they include the transport from the point of origin to the point of destination, round trip, as follows:

  • Romania and Bulgaria – 180 EUR/ pax

  • Latvia, Estonia, Slovakia, Slovenia, Italy – 275 EUR/ pax

  • Spain and Portugal – 360 EUR/ pax

Reimbursement of travel costs

Participants will be reimbursed according the travel distance upon presentation of travel documents.

We kindly ask you to keep all the travel documents (invoices, boarding passes, plane tickets, bus/train tickets and proofs of payment).

Please note, only the cheapest means of transport / fares are subject, covered by the project. Costs for using a taxi is not allowed to be reimbursed. Please, note the maximum of your travel costs.

Please, mind that, participants should take part for the full duration of the event (mandatory condition for the reimbursement of travel costs and subsistence costs!)





Health Insurance

Participants should be in charge of arranging your own insurance for the time of travel and stay in Bulgaria. The insurance costs are on the participants’ costs.

We suggest you to use European Health Insurance Card, if you hold one.

Participants who will arrive and depart out of the project dates (because of better flight options) should negotiate in advance the accommodation and meals in Sofia. The hosting organisation will help logistically to find the best accommodation for you and give you tips for the meals. Accommodation and meals before/after the project dates are on the participants' costs.

COVID-19 Situation in Bulgaria

We will follow, during the project the Health Protocol regarding the security and protection of all the participants and staff. The protection and security measures will be in accordance with the legislation in force at the time of the face-to-face activity, always considering the regulations of the Bulgarian Ministry of Health, regulations of the accommodation and transport (international and national).

Before the project: Each participant should avoid contacts with potential groups/ people in order to Covid-19 infection and distribution. Each partner has the responsibility to check before the departure the rules and restrictions imposed for their country by the Bulgarian Ministry of Health.

Travel: During the international & national travel, it is important to respect the security measures imposed by airlines, airports and various transportation companies, with regard to safety distance and the use of a protective mask.

During the project: Please proceed according to the accommodation and host organization safety standards, which are imposed by WHO, European Commission, and Ministry of Health. It is mandatory to use a medical mask (preferably not a textile one), which should be provided by each participant. Temperature measurements and desinfections will be implied also.

The PCR test or antigene tests costs (both on arrival and departure) will be reimbursed by the host organization and supported from the project grant.

Current Covid-19 restrictions

From 1 July, Bulgaria introduced a new system for classifying travellers arriving in the country based on green, orange and red zones.

Update on 18-08-2021!

GREEN ZONE: Italy, Estonia, Slovakia

Green zone - are allowed on the territory of the country upon presentation of valid EU digital COVID certificate for vaccination, disease history or a negative test, or of a similar document containing the same data as EU digital COVID certificate.

Travellers are required to present one of the following documents:

- A vaccination certificate indicating an approved vaccine schedule has been completed at least 14 days before arrival. For vaccines which require two doses, 14 days must have passed since the date of the second vaccine. The document must contain the name of the person in Latin alphabet/English, date of birth, date of the last administered dose, serial number of the dose, and the total number of doses administered, trade name of vaccine, batch number of dose(s), manufacturer name, name of country and organisation who has issued the certificate; or

- A document showing a positive result from a PCR or rapid antigen test for people who have recovered from COVID-19. This must be dated at least 11, but no more than 180 days before arrival. The document must contain name of the person in Latin alphabet/English, date of birth, date of the first positive result, details of the medical institution that performed the test (name, address or other contact details), the authority that issued the document, the country in which the test has been performed, type of test (PCR or RAT), and ‘Positive’ written in Latin/English. The vaccine types and antigen tests that will be accepted are listed in the annexes (in Bulgarian) at the end of the published ordinance (https://coronavirus.bg/bg/1038)

- A negative PCR test performed within 72 hours before entry into Bulgaria or a rapid antigen test performed up to 48 hours before entry. The document must contain the names of the person in Latin alphabet/English, date of birth, type of test (PCR or RAT) and ‘Negative’ written in Latin alphabet, details of the medical institution that performed the test (name, address or other contact details), date and time of the test sample, trade name and manufacturer of the test (mandatory for rapid antigen tests), the country in which the test has been performed and the authority that issued the document.

ORANGE ZONE: Portugal and Latvia, Slovenia

People arriving from Orange zone countries are required to show the same documents like applied for Green Zone countries. Additionally, at least 5% of all arrivals from orange zone countries will be tested with a rapid antigen test. If you test positive for COVID-19, you will be required to self-isolate for 10 days.

RED ZONE: SPAIN!

People coming from Red zone countries are allowed to enter the country upon presence of

  • EU Digital COVID certificate - Proof of vaccination, valid from 14 days after the second dose, or from 14 days after the first dose if the vaccine is administered in a single dose (Janssen/Johnson&Johnson) or:

  • Proof of recovery from COVID-19, valid 180 days (at least 11 days after the positive result to a COVID-19 test).

  • And a Negative result to a COVID-19 test - Both PCR tests, done 72 hours prior to arrival

Exceptions: Countries with which the Republic of Bulgaria has reached an agreement on free passage on a reciprocal basis: Romania.


The list of the countries is updated weekly.
Before the start of the project, each national team will be informed about the current status of the country regarding the classification applied.
